ADMINISTRATIONCLASS TITLE: Part – Time Administrative Clerk
CHARACTERISTICS OF THE CLASS: Performs duties as assigned by the City Clerk. Duties are performed under the supervision of the City Clerk.

SUMMARY

Provides staff support to the Administration, as well as performs a variety of administrative duties and serves as the first point of contact for citizens and businesses. Responsibilities include effectively routing incoming communications and assisting in the processing of mail, calls, forms, emails and requests to the City and performs a variety of clerical duties and general office tasks. The Administrative Clerk works closely with the City Clerk and City Treasurer to maintain office flow and procedures. Specifications are not intended to reflect all duties performed within the position.

QUALIFICATIONS

Persons with equivalent or related education, training and experience will be considered.
A minimum of two (2) years’ employment experience, preferably in municipal or county government office.
Proficient in Microsoft Office, SharePoint, Excel, Word, Outlook, Adobe Acrobat and Outlook.
Ability to perform mathematical calculations to complete administrative and accounting procedures.
Strong organizational skills and ability to multi-task.
Excellent time management and ability to prioritize work assignments.
Ability to work effectively and communicate with citizens, coworkers, elected and approved officials.
Ability to read, write, and speak effectively, including the accurate preparation of reports.
Knowledge of basic administrative and accounting procedures.
Ability to perform general office tasks such as typing, filing, mail processing, and computer-entry.
Must pass a criminal background check.
Complete pre-employment drug/alcohol screening test.

ESSENTIAL DUTIES AND RESPONSIBLITIES

Part Time, no more than 24 hours per week.
Responsible for receiving and processing calls and messages, and performing clerical and secretarial duties for the City.
Communicate accurately with other City employees, officers, government agencies, and the general public.
Quickly and accurately perform general office tasks such as typing, filing, mail processing, and computer-entry.
Organize and maintain administrative records under the direction of the City Clerk.
Manage several work assignments simultaneously.
Appear for work and complete assigned tasks within a reasonable period of time.
Work in a safe manner observing all safety rules and pose no direct threat or injury to another.
Receives and directs citizen complaints, with the emphasis on producing excellent customer service.
Assists in purchase and maintenance of supplies.
Operates standard office equipment.
Assists City Administration in performance of duties as necessary.
Performs any other tasks assigned by the City Clerk and/or City Administrator.

MATHEMATICAL ABILITITES

Ability to add, subtract, multiply, divide, measure, calculate percentages, fractions, and decimals.

PHYSICAL DEMANDS

Work is generally performed in an office setting. While performing the duties of this job, the employee is regularly required to sit, walk, stand, use fingers, talk, hear, grasp, reach with hands, see using close vision, see using distance, and adjust vision between close and distant. Ability to coordinate eyes, hands, feet and limbs in performing semi-skilled movements in the operation of computer keyboard, telephone, copier, and calculator and manual files. Ability to lift, carry, push, or pull up to 20 pounds.

ENVIRONMENTAL ADAPTABILITY:

While performing the duties of this job, the employee is regularly exposed to indoor climate conditions. The noise level in the work environment is usually low to moderate.
