About the Role

We are looking for a proactive and detail-oriented Facilities Administrator to join our team at our Auckland Head Office in Manukau.

This is a key operational role supporting the smooth day-to-day running of PB Tech's head office, distribution centre and stores nationwide. Working closely with internal teams and external contractors, you will coordinate maintenance, manage vendor relationships and support infrastructure projects ensuring our environments are safe and well-maintained.

Key Responsibilities

  • Coordinate and maintain facilities across offices, the distribution centre, and stores nationwide
  • Liaise with external vendors and service providers to arrange repairs, maintenance, and technical works (e.g. cabling, CCTV installation)
  • Monitor job progress and ensure tasks are completed in a timely and cost-effective manner
  • Assist with the coordination of basic IT and infrastructure-related work across sites
  • Maintain accurate records of maintenance activities, service schedules, and compliance documentation
  • Support asset management, including tracking office equipment, furniture, and infrastructure assets
  • Assist with store and office fit-outs, relocations, and refurbishments
  • Conduct routine site checks and proactively identify maintenance or infrastructure issues
  • Support health and safety requirements by reporting hazards and ensuring compliance standards are met
  • Provide administrative support to the Facilities and Operations team

What We're Looking For

  • Strong attention to detail and organisational skills
  • Ability to manage multiple tasks and prioritise effectively in a fast-paced environment
  • Strong communication and stakeholder management skills
  • Proactive mindset with a solutions-focused approach
  • Experience using MS Office (Word, Excel) and administrative systems
  • Experience coordinating vendors, contractors, or service providers
  • Experience in facilities administration, property, or operations support (advantageous)
  • Exposure to basic IT infrastructure e.g. networking, cabling, CCTV systems, hardware installation (advantageous)
  • Experience in a multi-site or nationwide environment (advantageous)
  • Qualification in Facilities Management, Business Administration, Property, IT, or a related field (advantageous)
