Position Summary: The Family Office Administrator will serve in a hybrid role to include providing operational support for Callan Family Office and its clients regarding various financial functions. This individual may also support the Senior Financial Administration Consultants in projects, bill pay, and financial administration reporting processes.

Own end-to-end client billing, client/firm Federal and state income tax payments, and other identified financial functions, and establish best practices and procedures in accordance with risk management and best in-class client service.
Build and maintain relationships with client management specialists/consultants/partners, senior financial administration consultants, and other advisors/vendors, as necessary.
Collaborate with leadership, cross functional teams, and third-party providers to integrate and implement tools and resources that create efficiency and enhance the offering.
Learn and support all aspects of Family Office Services to include participating in projects that support strategic goals.
Interface with financial administration service providers for bookkeeping and tax organization
Maintain and organize accounting and tax records and supporting schedules for clients and various legal entities.
Preparation and review of bank and credit card reconciliations, monthly cash flow reports, and financial statements.
Record day-to-day financial transactions and complete posting process, reconcile transactions, and bring the books to the trial balance stage.
Prepare and maintain accounting records, general ledgers, cash, bank, loan, investment reconciliations, and other supporting records.
Competencies and Skills:
Basic understanding of bookkeeping and accounting payable/receivable principles.
Proven data entry skills and ability to calculate, post, reconcile, and manage accounting-related functions.
Excellent analytical skills and ability to identify errors.
Demonstrated ability to manage, organize, and accurately execute high transaction volume.
Strong communication skills (both written and verbal).
Strong attention to detail and ability to prioritize work, meet deadlines, achieve goals, and work under pressure in a dynamic and complex environment.

Preferred Education and Experience:
Undergraduate degree (required) – bachelor’s degree in accounting, finance, business administration or related discipline.
1.5+ years bookkeeping experience (required)
Experience working with spreadsheets.
Familiarity with personal accounting software and bill pay services such as QuickBooks, Sage Intacct, Bill.com or the equivalent.
Basic understanding of Addepar or related data aggregation/analytics software.
Proficient in Microsoft Office 365 (includes SharePoint).
