About Catalpa

At Catalpa, we're all about creating real impact. We're a global development organisation that believes bright ideas—mixed with technology, creativity, and local know-how—can solve tough challenges.

Our team is a mix of engineers, designers, educators, economists, and project delivery folk. Together, we work on projects that matter and actually change lives. One of the things we're most proud of? Making learning accessible and engaging for communities that are often left out. Our work is meaningful, innovative, and, honestly, pretty cool. Check us out at www.catalpa.io.

About The Position

As Catalpa's work in Papua New Guinea continues to grow, we're looking for an exceptional Finance & Operations Coordinator to help keep our projects, people, and systems running smoothly.

This is a hands-on role at the heart of our PNG operations. You'll be the person who helps make things happen—coordinating logistics, supporting project delivery, managing suppliers, organising travel and events, maintaining operational systems, supporting finance processes, and helping ensure our team has what they need to succeed.

You'll work closely with our PNG Country Coordinator, project teams, consultants, suppliers, and Finance team to provide high-quality operational support across a diverse portfolio of projects.

No two days are the same. One day you might be coordinating logistics for a provincial workshop, managing vehicle maintenance, supporting a procurement process, or organising travel for a visiting consultant. The next, you could be assisting with accounts payable, driving across town to collect printing orders and supporting safety and security arrangements.

If you love solving problems, staying organised, learning new systems, and helping teams work effectively, we'd love to hear from you.

Requirements

We'd love to meet someone who has:

  • At least 3-5 years' experience in operations, logistics, administration, project coordination, office management, or a similar role, ideally in a development, NGO, Government, consulting, or project-based environment
  • Demonstrated experience coordinating logistics, travel, procurement, events, workshops, or operational support activities
  • Experience supporting office management, administration, supplier coordination, and day-to-day operational functions
  • Strong stakeholder management skills and the ability to build positive working relationships with project teams, suppliers, consultants, government representatives, and service providers
  • Experience identifying operational challenges and implementing practical solutions
  • The ability to work independently, take initiative, and manage competing priorities
  • Excellent organisational skills and attention to detail, with confidence to manage multiple projects and deadlines simultaneously
  • Strong problem-solving skills and sound judgement
  • A proactive, positive, and service-oriented approach to work
  • A full PNG driver's licence is essential

You'll be tech savvy – this is critical for us

At Catalpa, technology is part of how we solve problems and deliver impact. We're looking for someone who:

  • Has strong digital literacy and confidence using workplace technology
  • Learns new systems and software quickly
  • Enjoys improving processes through technology
  • Is comfortable working across platforms such as Google Workspace, Slack, Xero, and other digital tools
  • Is curious, adaptable, and willing to learn new skills as our systems evolve

Ideally, you'll bring experience in areas such as:

  • Operations and office administration
  • Logistics planning and coordination
  • Procurement and supplier management
  • Workshop, meeting and event coordination
  • Travel coordination and visitor support
  • Fleet and vehicle management
  • Asset management
  • Safety and security administration
  • Payroll administration and financial processing
  • Accounts payable and financial record keeping
  • Supporting compliance with organisational policies and procedures

Most importantly, we're looking for someone who is organised, adaptable, technology-confident, and enjoys helping others succeed. If that sounds like you, we'd love to hear from you!
