Roles and Responsibilities:
Document Management Ensuring all project documents, dailies, are properly filed and submitted to the appropriate parties for processing.
Recordkeeping: Maintaining databases for employee records, equipment logs, and project progress documentation.
Project Coordination Support: Assisting with project scheduling, handling of work/purchase/change orders, communicating with subcontractors and assisting in obtaining and tracking permits to ensure compliance with local regulations.
Communication: Handling phone and email inquiries from clients, vendors, and other stakeholders as well as coordinating meetings between staff and clients and acting as a liaison between office and field staff.
Procurement and Inventory Support: Assisting in ordering materials and supplies needed for projects and keeping track of inventory levels to ensure necessary equipment and materials are available for projects.
Financial Support: Data entry, invoicing, and payroll assistance.
Health and Safety Documentation: Maintaining safety records, incident reports, and ensuring that safety meetings and training are documented, as well as ensuring that safety equipment is ordered and distributed to site staff as needed.
General Office Support: Office supply management, data entry and reporting.
Technology and Systems: Using software tools to assist with daily operations and maintaining uptodate project information, employee details, and inventory lists in relevant databases or systems.
Skills, Requirements, Education and Experience
Education: High school diploma or GED required, associate degree or certification in business administration, office management, or a related field preferred.
Experience: 1+ years of experience in an administrative or clerical role preferred, preferably in the construction, engineering, or industrial sectors.
Technical Skills: Proficiency in Microsoft Office Suite, familiarity with constructionrelated software, database management experience, and basic knowledge of accounting/payroll systems.
Organizational Skills: Strong organizational skills to manage and maintain large volumes of documentation, including drawings, contracts, permits, and invoices, as well as the ability to manage multiple projects simultaneously with accuracy and attention to detail.
Communication Skills: Excellent verbal and written communication skills needed, as well as strong interpersonal abilities to work effectively with project managers, field staff, vendors, and clients.
ProblemSolving and Adaptability: Ability to identify and resolve administrative or logistical issues quickly, especially when it comes to document control, scheduling conflicts, or procurement challenges.
Regulatory Compliance Knowledge: Understanding of relevant regulatory requirements, such as OSHA standards, and permitting helpful.
