Front Desk/Medical Receptionist
GENERAL SUMMARY OF DUTIES: Responsible for professionally maintaining the front desk and waiting area of the clinic by answering and addressing incoming phone calls, greeting patients who arrive for services and collecting required copays. Experience with medical billing desired. If no billing experience, then a desire to learn this role.
FULL TIME: 8 hours a day, Monday – Friday
REPORTS TO: Office Manager and Clinical Director
ESSENTIAL FUNCTIONS:
Be a visible presence at the front desk by cordially and warmly greeting patients or others as they come in and collecting necessary insurance copays and other documents as needed
Answer incoming phone calls and take messages for providers as needed
Check phone or email messages, distribute messages, and return phone calls as needed
For potential new patients complete new patient administrative requirements
Maintain patient waitlist electronic document
Maintain ink and paper in all printers and notify Office Manager when supplies needed
Make copies of DCC forms and questionnaires as needed
Upload administrative documents and document patient appointment changes into electronic medical record
Fax clinic documents as directed.
Knowledge of insurance verification
Contact insurance companies (via portal or phone call) to verify DCC empanelment, patient eligibility, copayment, deductible, preauthorization, and number of authorized appointments.
Knowledge of billing insurance companies with EDIs and ERAs (preferred, but not required)

EDUCATION: Minimum of an Associates degree
EXPERIENCE: Minimum of four-year experience in customer service setting, with two years medical/mental health receptionist experience in health care setting, knowledge of insurance verification, knowledge of billing insurance companies (preferred, but not required), and experience with office equipment.
REQUIREMENTS: Minimum of an Associates degree. Excellent customer service skills in person and on the phone. Experience on computer, experience with electronic medical records, EDIs, ERAs, and familiar with Microsoft Word/Excel and DropBox. Confidentiality in all patient interactions. Business casual dress attire.
KNOWLEDGE:
Knowledge of reception tasks, office policies/procedures, paperwork
Knowledge of how to use office equipment
Knowledge of customer service concepts and techniques
Knowledge of insurance verification and communications
Knowledge of EHR billing/coding with EDIs and ERAs, as well as follow up calls to insurances
SKILLS/ABILITIES:
Interpersonal social skill necessary to deal effectively and courteously with patients, families and co-workers
Skill in customer service principles by creating a pleasant waiting room atmosphere
Familiar with HIPAA guidelines when on phone or discussing patient information
Typing skills to include professional email and professional memo writing
Skill in using office equipment and handling paperwork/filing
Communicate clearly in person and on the phone and establish/ maintain cooperative relationships with patients, families, clinicians, staff and other visitors
Organize and prioritize tasks effectively
Read, understand and follow oral and written instructions in English to perform duties
Review and enter patient information and insurance information accurately
File correctly by alphabetic or numeric system
Must be reliable and have integrity
Perform duties while under stress/ able to multi-task
Must possess sufficient dexterity to perform essential responsibilities.
ENVIRONMENTAL/WORKING CONDITIONS: Work is performed in a mental health practice environment. Involves frequent contact with staff, insurance companies and the public.
PHYSICAL/MENTAL DEMANDS: Work requires hand dexterity for office machine operation, stooping and bending for supplies, mobility to deliver messages, and sitting for extended periods of time. Must possess visual and auditory acuity to communicate with patients, co-workers and other customer groups. Possible exposure to chemical hazards (printer ink), but not to toxic hazardous substances. Must be able to lift up to 25 lbs.
