JOB POSITION: Office Administrator (Exempt)

JOB SUMMARY: The office administrator is responsible for managing the administrative affairs of St. John’s Lutheran Church & School, including the financial and personnel affairs. The office administrator is a member of the Staff Leadership Team. This position is under the direction of the Senior Administrative Pastor, with an annual review being conducted. This is a full-time, salaried, benefit-eligible, exempt position.
MINISTERIAL EXCEPTION: The ministerial exception furthers the purposes of the First Amendment free exercise and establishment clauses by barring legal claims against church bodies by their employees who carry out religious functions. The ministerial exception is also not limited to clergy members, but includes all employees of a religious institution, whether ordained or not, whose primary duties are religious.
AREAS OF RESPONSIBILITY:
Financial Management and Development – approximately 50% of time
· Budgeting and Reporting
o Direct the finances of St. John’s Lutheran Church & School.
o Establish regular communication of budgetary positions of St. John’s ministries with church and school administrative leadership and Board of Directors.
o Work with ad hoc teams to prepare, evaluate, and manage budgets and financial procedures.
o Assist in the annual audit.
· Contribution Processing
o Accurately and timely count contributions in coordination with the counting team.
o Prepare bank deposits, and record contributions to individual contributors.
o Prepare and mail statements to contributors.
o Answer questions regarding statements.
· Accounts Receivable
o Record changes to accounts.
o Process payments.
o Prepare monthly statements.
o Answer questions regarding statements.
o Prepare month-end financial information including journal entries, account reconciliations, and account analysis.
· Accounts Payable
o Review and process invoices for payment.
o Ensure invoices are properly documented.
o Print checks for timely payment.
o Submit checks for signature.
o Match signed checks with invoices for mailing.
o File and record all documentation.
· Tuition
o Assist the principal in managing school tuition.
o Serve on the financial aid committee.
Payroll, Benefits & Human Resource Management – approximately 30% of time
· Payroll Administration
o Accurate and timely payroll submission and processing for employees of St. John’s in compliance with federal, state, and local laws and staff contractual obligations.
o Coordinate payroll processing with third-party vendor.
o Distribute payroll checks.
o Monitor, track, and report on holiday and vacation usage.
o Provide support to employees with payroll questions.
· Benefits Administration
o Administer benefit and enrollment plans and review/disseminate annual changes in Concordia Benefit Package.
o Coordinate the documentation necessary for new hires.
o Monitor housing allowance for ministerial staff.
o Accurately manage paperwork and timely changes to benefits, communication with employees.
o Answering benefits-related questions.
· Human Resources
o Maintain employee personnel files, employee handbook, and ensure workplace policies comply with local, state, and federal laws.
o Respond to and assist employee human resource related inquiries and needs.
Administrative Leadership – approximately 20% of time
· Collaborative Leadership
o Attend staff meetings to ensure that the business needs of the church and school are understood and being met.
o Work closely with the Senior Administrative Pastor, Principal and other ministry staff to ensure that the vision and mission of the church and school are accomplished.
o Help the congregation adopt administrative policies and procedures that help it carry out its mission.
o Attend various church meetings as requested, serving as a staff resource.
· Contracts & Equipment
o Act as the purchasing agent for supplies and office equipment.
o Oversee contracts (equipment and subcontractors).
· SOPs
o Ensure that files are up-to-date and well organized.
o Maintain “standard operating procedures” for various office tasks and financial reports.
· Office Hours
o Office presence requested with flexibility in working remotely to ensure tasks are done.

All staff are expected to embrace any task, whether defined within their respective job description or not, to ensure that the mission and vision of St. John’s is accomplished.
QUALIFICATIONS:
· Committed follower of Jesus, who embraces the mission of St. John’s, and is aligned with the team values
· General finance and accounting experience required.
· Some experience in ministry, whether paid or unpaid, required.
· Preferred to have an associate’s degree in business, office management or related field and/or 2 years office or administrative experience.
· Familiar with financial analysis, especially non-profit, and budgetary skills
· Well-developed team skills, with strong communication and interpersonal skills.
· High level of confidentiality and integrity.
· Ability to analyze, identify and problem-solve while using sound judgment.
· Friendly and reliable.
· Strong computer skills (including proficiency in Word, Excel, Publisher, PowerPoint and QuickBooks) and ability to operate office equipment.
· Proven ability to manage/supervise others.
· Excellent organizational skills with the ability to prioritize and be flexible.
· Must complete and pass a thorough background screening.

Specific visions abilities required for this job include close vision and the ability to adjust focus.
