Department Introduction:
The Real Estate department manages and oversees the non-academic properties on Stanford lands, which the Board of Trustees has designated for the production of income. The Real Estate department performs asset and property management, leasing, sales and acquisition, and development services for these lands on behalf of the University. The areas under management comprise a wide variety of property types, including hotels, medical and commercial office buildings, apartments, retail buildings, single-family homes, and agricultural lands. Among the list of properties overseen by the Real Estate Department include the Stanford Research Park, the Stanford Shopping Center, Vi at Palo Alto, Stanford Creek and Stanford Hills residential subdivisions, 2725-2885 Sand Hill Road office buildings, Rosewood Sand Hill Hotel, 300 – 550 El Camino Real, Menlo Park, and all agricultural leases.

Job Purpose:
Provide complex administrative and operational support with minimal supervision to the Real Estate Development and Residential Services groups.

Core Duties*:

Responsible for leading and/or coordinating administrative functions of the various real estate teams within SRE (Development and Residential Services Departments). Oversee day-to-day work of other administrative or support staff, student and/or temporary workers, including scheduling, assigning, and prioritizing workloads, setting appropriate deadlines, reviewing work for quality, timeliness, and providing performance review input.
Act on behalf of the supervisor, department manager, or chair in regard to establishing priorities and identifying and resolving problems that are administrative in nature.
Research and/or write background information for meetings. Participate in meetings on supervisor’s behalf, inform after the fact.
Evaluate functions, policies, procedures, identify issues, and establish and oversee systems of standardized operating procedures (SOPs)
Lead group filing systems architecture and document management. Coordinate file sharing with stakeholders. Manage and archive project materials. Maintain and track off-site storage of project files and materials. Update and maintain electronic databases management.
Provide support to department teams on residential transactions.
Manage team-building activities to maximize team performance and engagement.
Oversee and/or perform duties associated with scheduling, organizing, and operating complex conferences, seminars, and events, including arranging with vendors for services, overseeing the production and distribution of materials, administering logistics, and managing event within budget.
Compose and draft documents and correspondence for presentations, course handouts, grants, conferences, seminars, and reports; perform substantial research editing and fact checking. Analyze and review material and extract pertinent information for briefing purposes.
Create, maintain, modify, and/or ensure accuracy of content in various unit documents, displays, reports, brochures, social media, and/or websites.
Create complex reports and spreadsheets which may utilize specialized software and systems. Make recommendations based on reports.
Hire and manage development group administrative consultants, interns, and temporary help.
Coordinate development staff onboarding and termination checklist items.
Calendar Management: Plan and schedule Development Team and Residential Services Team calendars without prior or with limited consultation, resolve calendaring conflicts, and respond to requests for availability.
Coordinate mail and package deliveries – send FedEx packages.
Financials: Oversee and/or process a variety of complex financial transactions; produce, monitor, and reconcile budget statements; process invoice payments (fees, certifications, permits), PCard verifications & expenditure reimbursements; research, identify, and resolve discrepancies; track down payments when needed. May assist with capital or special equipment requests and/or vendor selection.
Catering orders and set-up/clean-up
LBREIT Liaison – coordinate IT support for development team
Responsible for the coordination of the following:
o Conference room/service vehicle reservations
o Event planning (Fun Committee)
o Ordering supplies and morale gift/card orders (birthdays, bereavement, etc.)
Executes in-house print requests (scanning, etc.)
Maintain membership renewals and contributions to various associations and publications (ULI, Chamber SMC, MP Chamber, SF Biz Times, SJ Biz journal, Palo Alto Online, etc.)
Register development team members for conferences/business events.
Coordinate travel accommodations and arrange travel in compliance with unit, university, and sponsor policies.
Responsible for greeting guests & escorting to conference rooms.
Assists with the coordination of office moves, remodeling and renovations, as needed.
Other duties may also be assigned

Education & Experience:

High school diploma and six years of administrative experience, or combination of education and relevant experience.

Knowledge, Skills and Abilities:

Advanced computer skills and demonstrated experience with office software and email applications.
Demonstrated success in following through and completing projects.
Excellent organizational skills and attention to detail.
Strong verbal and written communication skills.

Physical Requirements:

Constantly perform desk-based computer tasks.
Frequently sitting.
Occasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 10 pounds.
Rarely twist/bend/stoop/squat, kneel/crawl.

The expected pay range for this position is $38.46 – $46.00 per hour.
