Position Summary: The Office Assistant / Front Desk Receptionist will be the “right hand” of the office and the first point of contact for the organization. Their energy and demeanor will set the tone for visitors and employees alike, as they play a crucial role in daily office matters.
Responsibilities and Duties:
Standard receptionist duties including but not limited to: greeting visitors, answering the phone, redirecting calls as needed, receiving and delivering messages, maintaining shared calendars and coordinating conference room scheduling, receiving office packages and deliveries, and preparing outgoing mail (envelopes, packages, etc.), update phone extension list, as needed.
Assist all departments in administrative support including but not limited to: supporting mailing around development events, new membership and partnership mailings, creating and processing purchase orders; creating HR birthday/anniversary emails.
Lead monthly HR Birthday/Anniversary celebrations team.
Organize, maintain, and update office and employee event budget, as needed.
Operate office equipment such as printers, photocopiers, creating and posting TruDigital TV messaging content, etc.
Keep inventory and order office supplies, as needed; maintain supply closets
Support meetings, special events and activities (internal and external), including space reservations, logistics, catering, etc.
Coordinate with facilities and outside vendors any immediate or long-term facilities projects.
Schedule employees for backup Reception coverage; manage communication and find replacements as needed.
Assign AFA employees to Fire Safety team and maintain communication with Building Fire Safety team.
Qualifications:
2+years of relevant work experience.
Customer-service mindset who thrives on being the “face of the office.”
Strong verbal and written communication skills.
Computer savvy with proficiency in Microsoft Office Suite (particularly Excel, Outlook, and Word).
Strong attention to detail, organized, driven, dependable.
Able to work independently and take detailed directions.
Willing to learn new skills (including new software) and be receptive to feedback and change.
Comfortable juggling multiple tasks at once and able to prioritize to meet deadlines.
Solid understanding of project scheduling.
Must be able to commit to core hours of the organization- M-F 9 AM – 5 PM
Makes being on time a priority; must be reliable and dependable
