Job Title: Secretary – Campus Safety
Reports to: Director of Campus Safety
Terms and Conditions: 12-month position, 8 hours per day.
FLSA Status: Non-Exempt
Salary: $23.53 per hour, per current CPA Collective Bargaining Agreement (Grade 1).

Position Summary:
The position provides confidential secretarial support to Director and Assistant Director of Campus Safety to coordinate daily operations of the department. Answers the main phone number for the school, transferring calls to appropriate departments/employees as necessary.

Job Duties:
Responds to all telephone calls to the main school number in a professional and businesslike manner, providing information and assistance and transferring calls as needed.
Schedules appointments, meetings and registers management for conferences and trainings.
Prepares training materials and schedules/reserves training space on school calendar (Tandem) for department trainings.
Coordinates with Buildings and Grounds for building events coverage and participates in monthly operations meetings.
Assists in maintaining Campus Safety work order system, entering, assigning and monitoring work orders as needed.
Assists/updates all Crises plans for Campus Safety.
Orders all supplies for Campus Safety and handles all PO slips.
Maintains Campus Safety training modules and assist with trainings.
Tracks and enters on the spreadsheet student information on tardiness to class, hall sweeps, or skipping class.
Creates and maintains a google overtime document for events that need security coverage and coordinates overtime assignments.
Prepares memos for department for special events and trainings, creates interview calendar invites, and prepares correspondence for distribution as needed.
Coordinates and reconciles payments for crossing guards and outside contractors.
Monitors and updates all campus safety reports, incident reports, logs, and records and preparers packets, maps, and evacuation bookbags and logs.
Monitors lost and found items.
Assists with temp ID machines as needed, including ordering supplies as necessary.
Posts job requisitions, schedules and coordinates interviews, and submits candidate recommendations using Frontline system.
Participates in Campus Safety and Support interview committees.
Coordinates or visits offsite training sites doing walk-through along with the Campus Safety Director, often annually or bi-annually.
Orders Campus Safety uniforms – annually and for special events (Summer, Winter Coats, special orders, etc.).
Maintains and edits as necessary OPRFHS Campus Safety and Support Web page on the school website.
Works on special projects (i.e. Annual drills and Radio projects)
Works Home coming, most major Athletic games, Prom, and graduation to provide coverage when requested.
Monitors Camera System (Salient) when requested.
Creates flyers for Girls locker room and other areas of the building.
Assists with Budget questions and transfers funds within the budget as needed.
Contacts and schedules outside vendors maintenance on campus safety vehicles.
Attends weekly campus safety meetings.
Performs other duties as assigned.

Qualifications:
To perform this job successfully, an individual should have knowledge of accounting software; database software; Internet software; inventory software; order processing systems; payroll systems; calendar/scheduling software; spreadsheet software; and word processing software. Other skills required include basic accounting skills, knowledge of construction bid process and invoicing, knowledge of electronic payroll systems, and knowledge of building automation software.

Physical/Visual Activities:
Standing, sitting, lifting, carrying/reaching, fine motor dexterity, talking, hearing, visual acuity: near.

Physical Demands:
No significant demands associated with this job.

Environmental Conditions:
Standard office conditions without windows.

The employee must frequently lift and/or move up to 50 pounds. Specific vision abilities required by this job include Close vision, Peripheral vision, Depth perception and Ability to adjust focus. While performing the duties of this job, the employee is frequently required to stand; walk; sit; use hands to finger, handle, or feel; reach with hands and arms and talk or hear. The employee is occasionally required to climb or balance and stoop, kneel, crouch, or crawl.
