Office of the Regional Chancellor for the USF St. Petersburg campus. University of South Florida St. Petersburg campus is Pinellas County’s only residential, public research institution. Located on Bayboro Harbor and in the heart of the city’s Innovation District, the USF St. Petersburg campus offers more than 40 undergraduate and graduate programs. Position Summary:

The Executive Administrative Specialist position is responsible for providing higher level administrative support and specialized program support for the Office of the Regional Chancellor on the USF St. Petersburg campus. The Executive Administrative Specialist will be the point of contact for the Regional Chancellor’s schedule in addition to a wide range of administrative and personal assistant duties including conducting research, preparing reports, meeting minutes, and spreadsheets. Additionally, the specialist is responsible for
preparing correspondence, and presentations, handling information requests, planning conferences, events, and meetings, providing purchasing and payroll support, fulfilling employment administration requirements, overseeing Travel, and maintaining calendars and schedules. This position reports to the Special Assistant to the Regional Chancellor.

Special Requirements:

This position must be able to perform a wide variety of administrative support duties, have superior customer service skills, be proficient in Microsoft Office, and have exceptional attention to detail.

Duties & Responsibilities:

Provides professional administrative support to the Regional Chancellor that includes coordinating the Chancellor’s schedule and events. Make decisions daily regarding calendars. Assists Special Assistant with daily administrative functions and activities to keep the Office of the Regional Chancellor running smoothly. Serves as a liaison between the Regional Chancellor and other internal and external constituents and a resource to others. Performs a wide variety of administrative support duties such as taking meeting minutes for various high-profile meetings, assigns work to, while supervising, student employees and plans, prioritizes and schedules meetings and appointments for those within the RC Office.
Performs specialized administrative duties required to successfully support the Special Assistant and the overall Regional Chancellor’s Office using discretion to make judgments based on operating guidelines. Support purchasing requirements for department, researching items, and obtaining price quotes, entering information into university systems, receiving purchase orders, and maintaining P-Card information as required. Support human resources and payroll processes as a primary contact or backup for payroll preparation or certification, leave tracking, appointment papers, and other requirements.
Responsible for assisting the Event Manager, and the RC Office as a whole, in the planning and coordination of USF St. Petersburg campus-wide events. Performs administrative and support duties as assigned by the Event Manager in event
planning efforts.
Prepares presentation materials for use by others within the RC Office, while editing content and adding appropriate graphic and design elements. Compose and/or prepare correspondence, memorandums, promotional materials, forms, newsletters, manuals, and reports using appropriate word processing and spreadsheet tools. Performs basic statistical calculations using data for these reports and presentations. Compiles and maintains information that may require web or library researching, gathering, compiling, and updating data and records.
Coordinates and manages the Regional Chancellor’s travel arrangements (both commercial and private, rental, ground transportation, hotel accommodations), completes expense reports and appropriate reimbursement forms and all required
documents and materials, and forwards to appropriate staff for timely processing.

Minimum Qualifications

This position requires a high school diploma or equivalent, with at least six years of experience in an office or administrative support position. Post-secondary education may be substituted on a year for year basis for up to a maximum of 2 years of experience.

Special Skills

Proficiency in technology, including the ability to troubleshoot basic issues and demonstrate a functional understanding of computer applications.
