Job Title: Front Office Executive

Summary:
The Front Office Executive is the first point of contact for patients and visitors at the physiotherapy clinic. This role requires a friendly, professional, and efficient individual with excellent communication and organizational skills. The Front Office Executive is responsible for managing the front desk operations, ensuring a smooth and positive patient experience, and supporting the administrative needs of the clinic.
Responsibilities:
Patient Reception:
Greet patients and visitors warmly and professionally.
Verify patient information and insurance details.
Manage patient check-in and check-out processes.
Schedule and confirm appointments, managing the appointment calendar efficiently.
Answer patient inquiries in person, via phone, and email.
Provide information about clinic services, fees, and policies.
Assist patients with completing necessary forms.
Ensure the waiting area is clean, organized, and comfortable.
Administrative Support:
Maintain accurate patient records, both physical and electronic.
Process payments and handle billing inquiries.
Manage incoming and outgoing mail and faxes.
Prepare and organize documents, reports, and other materials.
Maintain office supplies and equipment.
Assist with inventory management.
Perform other administrative tasks as assigned by the Clinic Manager.
Communication and Coordination:
Communicate effectively with patients, therapists, and other staff members.
Coordinate patient referrals and follow-ups.
Liaise with insurance companies regarding billing and claims.
Maintain confidentiality of patient information.
Clinic Operations:
Ensure the smooth and efficient operation of the front office.
Troubleshoot minor technical issues with office equipment.
Adhere to clinic policies and procedures.
Contribute to a positive and supportive work environment.
Qualifications:
High school diploma or equivalent; associate’s or bachelor’s degree preferred.
Proven experience as a front office receptionist, administrative assistant, or in a customer service role, preferably in a healthcare setting.
Excellent communication and interpersonal skills.
Strong organizational and time-management skills.
Proficiency in using computer software, including electronic health records (EHR) systems, Microsoft Office Suite, and appointment scheduling software.
Ability to multitask and prioritize tasks effectively.
Ability to maintain confidentiality and handle sensitive information with discretion.
Positive attitude and a professional demeanor.
Knowledge of medical terminology and insurance procedures is a plus.
