We are seeking a highly organized, personable, and proactive Front Office Executive to join our dynamic team. As the first point of contact for our agency, you will play a key role in creating a professional and welcoming environment for clients, partners, and guests.
In addition to managing front desk operations and administrative duties, you will also provide hands-on support to our marketing and creative teams. This role is ideal for someone with a background in marketing or agency environments, who thrives in fast-paced, collaborative settings and is passionate about branding, advertising, and media.
Key Responsibilities
Front Office Management: Managing reception duties including calls, emails, visitor greetings, meeting room coordination, and general office support.
Inbound Marketing Inquiries: Handling and responding to marketing-related inquiries across phone, email, and digital channels in a timely and professional manner.
Proposal Preparation: Assisting in drafting, formatting, and submitting proposals and marketing materials tailored to client needs.
Client Pitching Support: Supporting the marketing and business development team in preparing for and coordinating client pitches and presentations.
Client Communication: Maintaining consistent and professional communication with both prospective and existing clients.
Meeting Coordination: Arranging and managing client meetings, including scheduling, preparing agendas, and ensuring follow-up actions are tracked.
CRM Management: Maintaining and updating the company’s CRM system to ensure accurate tracking of client interactions, leads, and opportunities.
Marketing & Admin Support: Assisting with digital marketing tasks, social media scheduling, internal coordination, and overall support for marketing initiatives.
Requirements
2-3 years’ experience in a front desk, admin, or office support role
Prior experience in a marketing, media, or creative agency environment is a strong plus
Excellent verbal and written communication skills
Professional appearance and positive attitude
Strong multitasking, time management, and organizational skills
Comfortable using Microsoft Office; familiarity with tools like Keynote, social platforms, or CRMs is an advantage
Proactive and team-oriented with a strong sense of initiative
