About Da Vinci Art Alliance:

Da Vinci Art Alliance was founded by a group of sixteen Italian immigrant artists in 1931 who sought both a space of creative refuge and social and cultural engagement in a world that largely ignored the needs and desires of immigrants. Today we remain committed to ensuring equitable opportunities for creative people, specifically focusing on providing a platform for individuals traditionally marginalized in institutions, such as immigrants, the queer community, disabled people, elders and youth, individuals with low income, and all the intersections in-between. We do this through free public exhibitions and programming, funded fellowships and residencies, STEAM workshops, and an annual sustainability centered arts and science festival, the Everyday Futures Fest. Running through the core of everything we do at DVAA is our mission of Building Community Through Art. We utilize art making and appreciation as a tool of connection to build relationships between disparate people who continue to use DVAA as a creative refuge space.

Administrative Manager Position Description:

The DVAA Administrative Manager coordinates the logistics involved within all DVAA programming, exhibitions, and creative partnerships. The position works closely with the rest of our staff, artists, committee members, and volunteers to help everyone communicate and work more efficiently. Within the position, they serve as a resource to our audience, ensuring our public offerings are in alignment with the strategic mission and vision of DVAA and offer opportunities for people with all ages and abilities to participate. In support of their work, they oversee the membership committee and recruit and train volunteers.

Direct Responsibilities

Administrative

Provide logistical support for exhibitions and DVAA-led and participating events/programs.
Provide monthly programming and membership reports to Executive Director that include goals, needs, visions, complaints, etc.
Oversee logistics for rentals, coordinate staffing, any equipment needed, etc.
Ensure all staff have the supplies they need to carry out their work.

Membership & Volunteer Engagement

Provide support to interested, new, and long serving members of the gallery.
Serve as the staff lead for the Membership Committee.
Maintain the Membership and Volunteer database on Airtable.
Create, send, and prepare the data from the annual member survey. Present to rest of staff.
Recruit, train, and oversee volunteers. Encourage them to sign up to volunteer at events.
Oversee our annual membership drive.

Exhibitions & Programs

Help the Gallery Director in contacting exhibiting artists, partnering spaces, and customers.
Ensure all exhibiting artists are supported in creating and producing their exhibitions and programs.
Provide support in managing databases in Airtable associated with programs and exhibitions.
Serve as staff lead with our Residents and help them connect to additional resources to support their practice.

Compensation: $40,000 annual salary

Schedule: Full-time Wednesdays – Sundays 10am – 6pm, with some flexibility for program needs

Benefits: As part of our commitment to promoting work-life balance, we are pleased to offer all of our employees an Unlimited Paid Time Off (PTO) policy beginning 6 months after beginning their position. This means that they have the flexibility to take time off for personal reasons, vacation, illness, or any other approved leave without a specific limit on the number of days. All time off requests need to be pre-approved by the Executive Director within 2 weeks of taking off, outside of medical need or emergency, to ensure proper staffing and project continuity. For the first 6 months of this position, the administrative manager will have 5 days of PTO available and unlimited sick days. Additionally, we offer up to $200/month in health insurance reimbursements to employees working at least 32 hours a week.

Qualifications:

Experience in a similar role, preferably in an art gallery or related field.
Passionate about art and culture and its relationship to Philadelphia.
A commitment to social, racial, economic, and environmental justice and open to learning and relearning every day.
Experience working in collaboration with other people to produce creative results.
Demonstrated fluency with spreadsheets and organizing tools.
Must be efficient, organized, collaborative, professional, and able to thrive in a fast-paced environment.
Attention to detail is key!
Capable of working a flexible schedule including some later nights or early mornings determined by scheduled events and meetings.
Ability to work independently with little supervision.
Demonstrated ability to respond to challenges with creative and compelling solutions.
Ability to climb stairs throughout the day, regularly lift 25-50 pounds, and work on a ladder.
