POSITION DETAILS

The Office of the Vice Chancellor for Academic and Faculty Affairs seeks a Confidential Executive Assistant (CEA) to oversee and manage the office’s administrative, clerical, and reception functions. The CEA will work closely with the Interim Vice Chancellor (IVC), university deans, senior administrators, and staff across the University. This role requires close coordination and collaboration with the Executive Vice Chancellor and University Provost’s key administrative team, a critical feature of the position.
The Vice Chancellor oversees the leadership team, which include the Senior University Dean for Graduate and Undergraduate Programming (GUP), University Dean of Libraries and Information Resources, the university deans responsible for the offices of Student Success Initiatives-including the nationally recognized and replicated ASAP program—Special Programs, Faculty Affairs, the offices of the Executive Director of the New York Early Childhood Professional Development Institute (PDI), and the University Director of Academic Initiatives.
In addition to the CUNY Title Overview information, other key duties include, but will not be limited to the following:
Provides high-level administrative support to the IVC, including calendar management, scheduling of meetings, coordinating of travel and registrations, oversight of meeting logistics, and the recording and distribution of approved meeting minutes.
Maintains an ongoing calendar of special events, unit deadlines, report deliverables, other key dates, ensuring adequate planning and scheduling.
Serves as a liaison with the budget and HR offices and oversees administrative processes to support the department’s hiring needs.
Participates in planning and handling of logistics for special events and initiatives.
Drafts and proofreads communications and documents, maintains accurate records, and conducts basic research.
Participates in special projects and efforts that improve the units’ effectiveness, including assistance with process mapping and strategic plan progress tracking for student success initiatives are additional responsibilities of the position.
Maintains supply inventories.
Performs other duties as assigned.
NOTES :
The ability to work in person on a regular agreed upon schedule five days per week is required. The position currently requires in person work for a minimum of four days weekly at our midtown headquarters located at 205 East 42nd Street.
This position is excluded from union representation.
QUALIFICATIONS
Minimum Qualifications
Bachelor’s degree and four years’ related experience required.
Preferred Qualifications

The ability to maintain confidentiality, act with diplomacy, think critically, and work in teams and independently are key to success in the position.
Higher education experience in an administrative or executive support role.
Demonstrated knowledge of academic affairs operations, services, policies, processes, regulations, and related activities.
Ability to maintain confidentiality and act with discretion.
Excellent written and verbal communication skills with attention to detail.
Excellent interpersonal, critical thinking, and problem-solving skills.
Strong research and data analysis skills.
Proficiency in MS Office Suite (Word, Excel, PowerPoint), Google Docs, Dropbox, Microsoft Teams, etc.
Ability to multi-task and prioritize effectively in a fast-paced environment.
Outstanding organizational skills.
Interest in AI integration and workflow mapping.
CUNY TITLE OVERVIEW
Supports a Campus or University Executive as a confidential assistant, organizing and supervising unit activities.
Creates appointment and meeting schedules, arranges meetings, and prepares for a variety of special events; maintains an ongoing calendar of reports, deadlines, and key dates and incorporates these into a schedule
Coordinates Executive communications, including those requiring a high degree of sensitivity; responds to public inquiries as well as requests from within the Campus/University community
Organizes, creates, and distributes key, complex management reports with a high degree of accuracy
Organizes, manages, and tracks written and email correspondence, maintaining logs and records of follow-up activities
Procures required internal and external resources and services and manages their utilization
May supervise office staff, performing basic Human Resources functions such as recruiting and interviewing
Participates in special projects and efforts to improve unit effectiveness
Performs related duties as assigned.

COMPENSATION AND BENEFITS
The salary range is $72,667 – $82,928 , commensurate with credentials, education and experience.
CUNY is in the process of implementing salary schedule increases. Once implemented, salaries of eligible employees will be adjusted by 6.09% with additional increases of 3.25% effective 9/1/2025 and 3.5% effective 9/1/26, in accordance with the terms of the PSC-CUNY collective bargaining agreement.
