State Programs is currently seeking an Administrative Staff Assistant to become part of the Division of Business Operations. State Programs portfolio encompasses the following areas: Division of Business Operations, Division of Child Support Enforcement, Division of Licensing, and Division of Support and Transformation. This position reports directly to the Director of Business Operations. This position provides confidential and administrative support to the State Disbursement Unit and to the Office Background Investigation Unit. Manages the administrative activities and work of the office for the Director and Managers by providing expert staff assistance; serves as a backup administrative resource, as needed, or required. Reviews and/or monitors timeliness, accuracy and completeness of administrative transactions and activities. Independently coordinates project management requests. Corrects, coaches, trains, and interacts with staff to prevent and/or resolve exceptions and to create necessary documentation to gain administrative requirements.

Minimum Qualifications

Comprehensive working knowledge of administrative office principles and systems. Considerable skill in the use of personal computers and word processing software; in drafting, formatting, and editing written correspondence, and knowledge of professional writing styles and formats. Demonstrated ability to manage activities and administrative work by planning, prioritizing, and organizing workflow to accommodate peak periods; exercise sound independent judgment in the reception, handling, and disposition of a wide range of often sensitive communications and situations; communicate effectively orally and in writing with agency executives, state officials, staff, and the public. Considerable skills in processing supply orders, purchasing, invoicing, contracts, and related matters, as well as tracking matters pertaining to procurement and expenditures for various directorates.

Additional Considerations

Administrative/Secretarial/Executive Assistant experience requiring the performance of a variety of duties associated with the administrative activities of an executive office.

Knowledge of the Commonwealth’s prompt pay act, travel policies, and procedures.

Experience with eVA, FAAS, Cardinal and Small Purchase Card.

This position may be eligible for telework opportunities; availability, hours, and duration will be in accordance with the Commonwealth’s Teleworking policy and the business needs of the agency and/or division. This position is not 100% telework and currently requires the incumbent to report to the office 3 days a week with 2 days telework, after successfully completing initial position and agency training. This is subject to change based on agency need, management discretion and Commonwealth’s Telework Policy.

Selected candidate may be required to assist the agency or state government generally in the event of an emergency declaration by the Governor.
