Under general supervision, the Executive Assistant to the Chief People Officer (CPO) is responsible for providing administrative support to the CPO and the Office of the CPO staff, as otherwise directed, and the timely execution of related activities.
This is a demanding and proactive as well as reactive role requiring adherence to deadlines, high standards and attention to detail, and it requires a collaborative way of working with colleagues and partners across our locations and operations in the US and Europe.
The role is classified as Hourly Non-Exempt, eligible for overtime pay in accordance with company policy as well as federal and state laws.

What will you be doing?
General Administration
Extensive calendar and schedule management, including timely conflict management, and ensuring accuracy of invites details and information with respect to their purpose – always acting as a gatekeeper for the CPO’s competing priorities.
Set up and preparation for virtual and in person meetings, including links, room bookings across multiple locations and time zones, and catering as needed – as well as ensuring CPO is prepared with relevant context and material otherwise
Constant focus on forward calendar planning through open communication with CPO and Chief of Staff through daily liaising in relation to current, weekly and monthly considerations, team information, meeting preparations, and head’s up on any issues
Work closely with other internal and external Executive Assistants in relation to timing of key stakeholder meetings and reporting deadlines for materials, including for LG ELT, Global ELT, Compensation Committees, Board meetings the CPO takes part in, People Leadership meetings, and quarterly reviews and performance reporting
Maintain up-to-date contacts database across devices
Answer incoming request and take appropriate action, exercising considerable judgement and discretion
Act as a liaison with internal and external clients, business associates and community/industry leaders by responding to concerns and requests with a degree of autonomy, organization and a customer service focus
Be a linchpin of communication for the team, sending reminders of tasks that need to be completed, registrations, team news, and supporting and promoting office community building and events
Perform ad hoc projects as assigned
Travel
Plan and book all travel for CPO and Chief of Staff with itineraries, including flights, ground transportation, hotels, meals– and making sure all details are appropriately recorded in calendars
Ensure traveler profiles with appropriate agencies and memberships are up to date
Finance
Responsible for timely and accurate processing of expense reports
Raise Purchase Orders as needed, liaising with others and relevant EAs in Amsterdam and London as necessary.
Office Management
Ensure regular review and maintenance of reports and digital tools, and provision of required updates and training
Organize recognition, gifts, and order office supplies as needed
Distribute communications to appropriate personnel on the team
Process and maintain accurate and complete files and records regarding general and confidential department and company matters, including physical storage
Other
Carry out other reasonable duties as requested.

Proven substantial EA experience at Senior Executive Level
High proficiency in Microsoft Outlook, Teams, Word, Excel and PowerPoint
High proficiency in Oracle, iExpense and iProcurement
Diplomatic, level headed and confident communicator with strong inter-personal as well as verbal and written communication skills – effective in dealing with people at all levels of the organization and society
Courteous with a collaborative and tolerant working style, a positive attitude and team player
Comfortable working as part of a small team, a self-starter who is enthusiastic, willing and able to take on responsibility
Highly organised, pragmatic and reliable, with a high degree of accuracy through due attention to detail
Flexible and mature outlook, adaptable to changing priorities and comfortable managing workload and deadline pressures that may involve some occasional overtime
High level of discretion in order to handle sensitive and confidential matters with diplomacy and professionalism
Serve as a key member of the administrative team by fostering a collaborative and cohesive environment, showing willingness and ability to learn from and share with others
Proactively seeks ways to improve and streamline administrative processes and procedures
Prioritizes and plans work activities, uses time efficiently and develops and executes action plans within realistic timelines
Meets applicable deadlines for commitment and activities
