Community Counseling Center of Ashtabula County is a non-profit behavioral health provider focused on engaging the community in recovery.

We are currently seeking an energetic, team-oriented Receptionist to provide Clerical Support in the high-energy, fast-paced front office for a comprehensive behavioral health agency in Ashtabula.

JOB TITLE: Clerical Support Staff

STATUS: Full-time; Non-Exempt, subject to over-time

EDUCATIONAL REQUIREMENTS: High School diploma or equivalent

EXPERIENCE REQUIREMENTS: Experience preferred

KNOWLEDGE & SKILLS REQUIREMENTS: Strong emphasis in secretarial skills. Must be personable, able to work independently, self-motivated, and have good problem solving skills. Must have excellent computer skills and knowledge of basic office equipment including copiers, facsimiles, etc. Must demonstrate a high level of confidentiality and be willing to work with persons with behavioral health needs and the general public.

WORKING SCHEDULE: Dictated by client and corporation need but based on 40 hour work week. Monday – Friday as assigned by supervisor. Variable within the corporation, office hours of 8:00 am to 7:00 pm M-H, 8am-5:30pm F.

JOB DUTIES: All positions shall be cross-trained in order to maintain coverage during absences including for the Medical Records Librarian and other support staff as experience dictates.

RECEPTIONIST

Schedule client appointments, greet clients and visitors, and inform staff of client arrival. Assist with the monitoring of the Medicaid or insurance eligibility of clients.
Answer multi-line telephone, route calls to proper personnel and/or department. Take messages and answer general inquiries regarding the agency.
Track client appointments via electronic medical record.
Make copies.
Monitor the waiting room. Insure that it is neat and orderly, magazines and educational displays kept current.
Assist with monthly mailings and preparation of rosters.
Compose basic business letters.
Assist the Billing Office in the collection of financial information.
Cross-train with Medical Records Librarian and other support staff as experience dictates.

ALL CLERICAL SUPPORT STAFF

Maintain effective working relationships with co-workers and make every attempt to resolve work-related difficulties with the co-worker in a timely fashion.
Communicate all concerns and questions regarding the program functioning and client care to the immediate supervisor.
Maintain current knowledge of all applicable CCC policies and procedures and function according to these standards.
Be knowledgeable of and adhere to all pertinent federal, state, and local laws, standards of the Ohio Department of Mental Health and Addiction Services, CARF Accreditation Standards, and appropriate professional ethical standards.
Perform other assigned and related duties specific and customary to the department in which they are assigned.
