ROLE OVERVIEW

The Admin – Data & Report Analysis role is the data backbone of the Mass PERM Recruitment unit. The role owns the creation, cleaning, governance, and reporting of recruitment data across every active project and at the consolidated portfolio level.

As the unit runs multiple clients simultaneously — each with its own pipeline, SLA targets, and reporting needs — this role ensures that every project speaks the same data language: consistent definitions, reliable numbers, and timely dashboards that let Project Leads and the Head make decisions with confidence.

Looking ahead, this role is the unit’s lead partner for the migration to the new company-wide system: defining data structures, cleaning and preparing legacy data, and uploading and synchronising recruitment records so the transition is smooth and the data stays trustworthy.

KEY RESPONSIBILITIES

A. Data Creation & Preparation

  • Build and maintain standardised trackers and templates for each project (pipeline, candidate status, offer/accept, SLA, headcount).
  • Capture and structure recruitment data from consultants and onsite teams into consistent, analysis-ready formats.
  • Set and document common data definitions (e.g. fill rate, time-to-fill, grade bands) so all projects report on the same basis.

B. Data Cleaning & Quality

  • Validate, de-duplicate, and reconcile data across projects to ensure accuracy and completeness.
  • Identify and resolve data gaps or inconsistencies with Project Leads before reporting.
  • Maintain an audit trail and version control so figures are traceable and reproducible.

C. Reporting & Analysis (Single & Multi-Project)

  • Produce regular project-level reports — pipeline health, SLA / fill-rate vs target, urgent and hard-to-hire roles.
  • Consolidate project data into portfolio dashboards for the Head: progress, source efficiency, P/L (Forecast vs Actual), recruiter performance, etc.
  • Provide ad-hoc analysis to support resourcing, redeployment, and scaling decisions (e.g. ROI, salary-to-revenue ratios).
  • Support the weekly / monthly / quarterly governance cadence with accurate, on-time data packs.

D. Data Governance

  • Own the data governance standards for the unit — naming conventions, access, retention, and confidentiality.
  • Ensure client and candidate data is handled in line with privacy and contractual requirements.
  • Continuously improve data processes, automating manual steps where possible.

E. System Migration & Sync (Forward-Looking)

  • Partner with the Head to define data structures and mapping for the new company system.
  • Clean, prepare, and validate legacy recruitment data ahead of migration.
  • Execute and reconcile the upload and synchronisation of data into the new system, ensuring integrity post-migration.
  • Document the new data workflows and support the team in adopting them.

REQUIREMENTS

Education & Experience

  • Bachelor’s degree in business, Economics, Statistics, Information Systems, HR, or a related field.
  • 1–3+ years in a data analyst, reporting, MIS, or recruitment-operations / admin role; recruitment, staffing, or HR services background is an advantage.
  • Experience supporting multiple projects or stakeholders simultaneously is strongly preferred.

Technical Skills

  • Advanced Excel / Google Sheets (pivot tables, lookups, formulas, data cleaning).
  • Working knowledge of a BI / dashboard tool (Power BI, Looker Studio, or similar) is an advantage.
  • Comfortable with database concepts and data migration / synchronisation; SQL or ATS/HRIS experience is a plus.
  • Strong data-quality discipline — accuracy, consistency, and version control.
