Summary of Position:

The Hospitality Associate serves as the primary point of contact for visitors, guests, volunteers, vendors, co-workers, and residents, providing exceptional customer service that reflects the mission and values of the Sinsinawa Dominicans. This position coordinates front desk operations, hospitality services, meeting and event support, gift shop operations in the absence of the Campus Operations Coordinator, and administrative support to ensure a welcoming, organized, and mission-centered experience for all who visit Sinsinawa Mound.

Essential Duties and Responsibilities:

· Welcome visitors, guests, volunteers, vendors, residents, and Sisters while providing courteous, professional, and responsive customer service.

· Answer and direct incoming telephone calls and respond to general inquiries.

· Provide directions, campus information, and assistance to visitors to ensure a positive guest experience.

· Orient meeting and retreat groups by providing information about the campus, facilities, services, and hospitality guidelines.

· Open, operate, and close the campus gift shop in the absence of the Campus Operations Coordinator, including assisting customers, processing sales, maintaining merchandise displays, and ensuring the shop is secure and presentable.

· Conduct campus tours as requested.

· Prepare meeting and event spaces by arranging tables, chairs, audiovisual equipment, and other requested furnishings.

· Coordinate the setup of refreshment stations and ensure catered food and beverage service is delivered and prepared as scheduled.

· Inspect meeting rooms before and after events to ensure spaces are clean, organized, properly supplied, and ready for subsequent use.

· Maintain hospitality storage rooms, kitchenettes, meeting room supplies, and guest service areas in an organized manner.

· Monitor hospitality and office supply inventories and communicate replenishment needs to the Campus Operations Coordinator.

· Assist in maintaining clean, welcoming, and orderly public and guest-facing areas.

· Provide administrative support to Outreach, General Operations, and other departments, including data entry, filing, copying, mailings, scheduling, and other clerical duties.

· Distribute information regarding organizational programs, events, services, and campus resources to visitors and guests.

· Maintain a working knowledge of the mission, history, ministries, programs, and campus resources of the Sinsinawa Dominicans and appropriately share information with visitors.

· Develop and maintain positive, respectful working relationships with guests, residents, volunteers, Sisters, and co-workers while handling questions or concerns professionally and appropriately.

· Maintain effective communication with internal departments to support hospitality operations and ensure quality guest service.

· Work a flexible schedule, including evenings, and weekends as required to support meetings, events, and organizational needs.

· Comply with all organizational policies, procedures, and applicable safety practices.

· Perform other duties as assigned to support the mission and operational needs of the organization.

Education, Experience, Skills, and Physical Requirements:

· High school diploma or equivalent required.

· One or more years of customer service, hospitality, administrative support, or related experience preferred.

· Experience in event support or front desk operations is preferred.

· Excellent interpersonal and customer service skills with the ability to interact professionally with diverse individuals.

· Strong verbal and written communication skills.

· Excellent organizational, time management, and multitasking abilities.

· Proficiency with Microsoft Office applications and general computer systems.

· Ability to work independently while also contributing effectively as a member of a team.

· Ability to maintain confidentiality and exercise sound judgment.

· Ability to adapt to changing priorities in a fast-paced, service-oriented environment.

· Frequently stand, walk, bend, reach, and move throughout the campus.

· Frequently lift, carry, push, or pull up to 40 pounds without assistance.

· Occasionally lift or carry up to 50 pounds without assistance.

· Occasionally lift or carry more than 50 pounds with assistance.

· Ability to set up meeting rooms and transport hospitality supplies and equipment.

· Ability to work indoors and outdoors as duties require.

Pay: $19.00 – $21.00 per hour
