About The Role
The HR / Recruiter / Office Administrator at T. Madison LLC DBA Traffic Plan is a vital role responsible for managing a broad spectrum of administrative functions within our office environment. This individual will oversee the recruitment process for both field and office personnel, ensuring a seamless onboarding experience for new hires. Additionally, they will serve as the primary point of contact for candidates and employees, supporting HR policies and maintaining compliance with relevant legal standards. The role also encompasses general office management duties, including document handling, contract management, and supporting field operations through administrative assistance. The successful candidate will possess excellent organizational skills, a proactive attitude, and the ability to handle sensitive information with discretion.
Qualifications
Required:
- High school diploma or GED; an Associate or Bachelor's degree in Human Resources, Business, or a related field is preferred.
- Minimum of 2-3 years of experience in a similar administrative or HR role.
- Experience with payroll processing, including certified payroll requirements.
- Strong knowledge of recruitment, screening, and onboarding processes.
- Excellent organizational skills with the ability to multitask effectively.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strong written and verbal communication skills.
- Ability to handle confidential information with discretion and professionalism.
Preferred
- PHR Certification or similar HR accreditation.
- Experience working within the construction, transportation, or traffic control industries.
Responsibilities
- Assist in creating and posting job advertisements across various platforms, screening resumes, and scheduling interviews for both field and office roles.
- Conduct initial phone screens, coordinate interviews, and perform background checks and drug screenings to ensure candidate suitability.
- Coordinate and facilitate employee orientations, training sessions, and meetings to promote a well-informed workforce.
- Support the onboarding process by ensuring the timely completion of all new hire documentation, including I-9 forms, E-Verify, W-4s, and other compliance-related paperwork.
- Maintain accurate employee records, both digital and physical, in accordance with company policies and legal standards.
- Assist with timekeeping and payroll processes, particularly for hourly field staff, ensuring accuracy and timeliness.
- Monitor and track certifications, licenses, and required training such as flagger certifications, ensuring compliance and renewal deadlines are met.
- Support HR compliance initiatives, including policy implementation and updates.
- Provide assistance with payroll system maintenance, troubleshooting, and corrections as needed.
- Prepare and manage certified payroll reports in compliance with federal, state, and local regulations.
- Coordinate with internal payroll teams to ensure accurate and timely processing of payroll data.
- Manage incoming and outgoing mail, deliveries, and general office supplies to ensure smooth daily operations.
- Support field supervisors and management with administrative tasks, including document management and contract coordination.
- Gather, review, and maintain all required contract documentation such as Certificates of Insurance (COIs), W-9 forms, and project-specific details.
- Review contracts to determine federal job status and certified payroll requirements, ensuring accuracy and compliance.
- Update inventory records related to work zone signage and other equipment, submitting contracts for approval and follow-up to ensure completion.
