ARE YOU THE HVAC APPOINTMENT SCHEDULER OUR TEAM NEEDS?
Strong communication skills
Strong ability to manage and prioritize multiple appointments or tasks at once
Professional and friendly demeanor
Ability to manage and adhere to a busy schedule while remaining flexible
Strong attention to detail and organizational skills
Proficiency in basic office applications like Microsoft Office
Ability to handle scheduling conflicts or last-minute changes with ease
Experience in appointment setting, customer service, or administrative roles is a plus. Experience with CRM systems or appointment scheduling tools (e.g., Service Titan, Salesforce, etc.) is also a plus.
WHAT VITAL ASSISTANCE DO YOU PROVIDE?
This is a full-time HVAC Appointment Scheduler position. You’ll be working during standard business hours, Monday through Friday, with some flexibility required based on appointment needs. You will have the opportunity to contribute to the smooth operations of our team while enjoying a work-life balance.
As an HVAC Appointment Scheduler at Moon Air, your day will begin by reaching out to both existing and potential clients through phone calls, emails, or other communication platforms to set up appointments. You’ll be the first point of contact, establishing strong, friendly relationships by listening attentively to customer needs and ensuring all details are confirmed for their service calls. You’ll be coordinating with our technicians to ensure that schedules are optimized for efficiency and that everyone involved is on the same page.
Throughout the day, you’ll manage appointment changes, reschedules, and cancellations, making sure everything stays on track. You’ll be responsible for sending reminders, confirming details, and maintaining records in our CRM system.
