IT Administrative Assistant Information Technology Services Department

The Administrative Assistant provides direct support to the Chief Information Officer (CIO) to effectively manage a broad range of day-to-day operational activities. This role actively interfaces with all levels of the Firm, including senior leadership, requiring a professional, positive, and calm demeanor. The Administrative Assistant supports the CIO with their strong organizational skills, impeccable attention to detail, and effective management of competing priorities and tasks.

Duties and Responsibilities:

â–ª Organizes and schedules appointments and meetings, including but not limited to conference calls, Town Halls, video conference calls, and webinars.

â–ª Prepares materials as necessary, takes minutes if requested.

â–ª Helps to effectively manage, organize everchanging priorities, using good judgment and self-discipline.

â–ª Assists in preparation of reports, correspondence, and presentations.

â–ª Keeps financial records, processes invoices and payment requests.

â–ª Assists with department budget analysis.

â–ª Creates, updates, and manages documents and spreadsheets.

â–ª Answers and directs phone calls. â–ª Uses good business judgement to prioritize critical requests to the CIO.

â–ª Maintains department administrative files and performs data entry as needed.

â–ª Provides general administrative support for the department as needed, including preparing business correspondence, other documents, travel, etc. â–ª Ensures timely and regular attendance.

â–ª Participates in special projects and/or other duties as needed.

Qualifications

â–ª Strong service orientation, and an understanding of the importance of developing effective working relationships with attorneys and other personnel of all levels.

â–ª Must be highly motivated, analytical, organized, and efficient.

â–ª Excellent follow-through, attention to detail, and problem-solving skills.

â–ª Strong computer skills and exposure to database search and data entry.

â–ª Proven facility with technology and software, including PowerPoint, Excel, Outlook, and Word.

â–ª Proactive and able to make recommendations for improving processes and procedures. â–ª Ability to work well under pressure.

â–ª Ability to work in a collegial team environment, as well as to take initiative and work independently.
