Our client, a growing and entrepreneurial IT services company based in Richmond Hill, is seeking a proactive and highly organized Junior Executive Assistant & Administrative Coordinator to support four Partners while ensuring the smooth day-to-day operation of the office.

Responsibilities
Executive & Administrative Support
- Manage complex calendars for four Partners, scheduling meetings and coordinating appointments.
- Coordinate domestic and international business and personal travel, including flights, accommodations, transportation, and detailed itineraries.
- Prepare and submit expense reports accurately and on time.
- Screen calls and correspondence and provide day-to-day administrative support.
- Assist the Partners with a variety of projects and administrative tasks to keep them organized and operating efficiently.
Personal Assistant Support
- Run business and personal errands as required.
- Pick up lunches, catering, and other office purchases.
- Coordinate personal appointments and miscellaneous requests for the Partners.
- Handle personal administrative tasks with the utmost discretion and professionalism.
Office Management
- Order and maintain office, kitchen, and workplace supplies.
- Liaise with office vendors, service providers, and cleaning company.
- Ensure the office, kitchen, and common areas remain clean, organized, and presentable.
- Perform light kitchen duties, including loading and unloading the dishwasher, stocking refreshments, and tidying shared spaces.
- Set up meeting rooms and assist with hospitality for clients and guests.
- Support office initiatives and special projects as needed.
Qualifications
- 1–3 years of experience in an administrative, executive assistant, office coordinator, office manager, or personal assistant role.
- Excellent organizational skills with the ability to prioritize competing demands in a fast-paced environment.
- Strong verbal and written communication skills with a polished and professional demeanor.
- Proficiency with Microsoft Office (Outlook, Word, Excel, and PowerPoint).
- High level of discretion and ability to handle confidential information.
- Must possess a valid Ontario driver's license and have access to a reliable vehicle, as local errands and off-site responsibilities are a regular part of the position.
