Schedule: Hybrid (4 days onsite / 1 day remote)

A premier financial investment firm is seeking a Junior Executive Assistant / Administrative Assistant to support its Hybrid Investment Team. This role will provide administrative support to four Principals and two Associates, partnering closely with the broader administrative team to ensure seamless day-to-day operations. The ideal candidate is tech-savvy, highly organized, and eager to build a long-term career in executive support. Key Responsibilities
Executive Support
- Provide dedicated administrative support to two investment professionals.
- Manage complex calendars, coordinate meetings, and proactively resolve scheduling conflicts.
- Arrange domestic and international travel, including detailed itineraries.
- Prepare and submit expense reports accurately and on time.
- Assist with meeting preparation, presentation materials, and other executive correspondence.
Team Support
- Provide administrative support to the Hybrid Investment Team as needed.
- Coordinate internal and external meetings, conference calls, and video conferences.
- Maintain spreadsheets, track projects, and assist with reporting.
- Support ad hoc projects while ensuring seamless day-to-day operations.
- Partner with the administrative team to provide coverage and collaborate on team initiatives.
Office & Administrative Operations
- Assist with meeting logistics, catering, and visitor coordination.
- Maintain organized files, documents, and administrative records.
- Identify opportunities to improve processes and increase efficiency.
- Handle confidential information with professionalism and discretion.
Qualifications
- 2+ years of administrative or executive support experience within professional services, including investment banking, private equity, venture capital, consulting, financial services, legal, or accounting.
- Bachelor's degree preferred.
- Advanced proficiency in Microsoft Office Suite, particularly Outlook, Excel, Word, and PowerPoint.
- Strong technical aptitude with the ability to quickly learn new systems and software.
- Exceptional organizational skills with outstanding attention to detail.
- Proactive, resourceful, and eager to take ownership of responsibilities.
- Positive, upbeat, and polished with excellent interpersonal and communication skills.
- Ability to manage multiple priorities in a fast-paced, deadline-driven environment.
- Strong sense of professionalism, discretion, and confidentiality.
