Description
SAIC is seeking a dedicated Executive Office Administrator and Scheduler to provide support on-site in the Pentagon working as part of a team supporting the Department of Defense (DoD) General Counsel (GC), the chief legal advisor to the Secretary of Defense, a Presidentially nominated, Senate-confirmed position who is a four-star military officer equivalent.
Work involves varied and complex duties including scheduling meetings, events and travel for the GC, preparing briefing books for meetings, maintaining record systems, and providing professional, courteous service to external and internal customers.
This position requires close interaction with top department leadership within the Pentagon and across the DoD community, including the highest leadership across DoD Components, industry partners, academia, and international partners to achieve organizational mission goals and outcomes.
The pace in the office is high tempo, with potentially late hours.
The candidate will
Work daily as the dedicated Executive Office Scheduler with primary responsibility for handling the GC’s calendar.
Work with immediate front office staff on ensuring scheduling actions are addressed in a timely and appropriate manner.
Coordinate with other offices to deconflict schedules, meetings, and appointments.
Answer phone calls; escort non-cleared personnel in the office; and maintain files.
Make copies; scan documents; produce files; serve as the primary scheduler for the GC; and maintain basic office functions.

Qualifications
Educational Requirement
High school degree or experience accepted in lieu of a degree.
Required Skills
10+ years of experience with progressively responsible administrative support or scheduling experience.
Knowledge of administrative and clerical functions, processes, practices and procedures.
Fluency with, and understanding of DoD, Joint Staff, and the Military Departments standards of practice.
Ability to manage classified, law enforcement, and sensitive information, including executive level correspondence.
Attention to detail and ability to multi-task while supporting administrative aspects of an office with multiple management levels.
The ability to leverage established relationships with other DoD components and agencies.
Proficiency with Microsoft Office Suite of Applications (Outlook, Word, Excel, and PowerPoint) and common office software applications.
Motivated, self-starter with the ability to accomplish tasks under pressure with limited supervision.
Ability to provide on-site support in the Pentagon, Monday through Friday.
Exceptionally organized, calm, works well under pressure and constantly changing schedules.
Desired Skills
Previous experience working in the Pentagon.
Familiarity with knowledge management tools including SharePoint, Access databases, etc.
Special Circumstances
