GENERAL SUMMARY
The purpose of this job is to provide direct support to programs within the Health & Community Services Department in the daily management of programmatic operations. Coordinate and ensure the completion of necessary internal and external administrative work and financial responsibilities, including the coordination of programmatic contracts and HIPAA compliance/HCS division policies. Assist in the development and coordination of outreach materials and events.
This position will be working with Family Planning in the Personal Health Division. This position will assist the manager with administrative workflow of the program, resolve administrative problems by analyzing information and identifying and communicating solutions. Will input relevant data into databases through a variety of data collection systems. Create and provide information and education to program specific consumers, providers, and community partners. Prepare and submit program specific forms and reports as needed by staff or manager. Will ensure providers receive public health updates, recommendations, guidelines, and distribute materials as necessary and maintain inventory and distribute medical program-specific supplies.
ESSENTIAL DUTIES & RESPONSIBILITIES
Coordinates programmatic contracting/financial system(s) including compliance and facilitation within the program and outside vendors, varies based on assignment.
Schedules and manages appointments and meetings for assigned programs.
Assists with the coordination of outreach materials for assigned HCS division.
Processes financial transactions for assigned division within Health & Community Services (HCS), including training, travel, rentals, and programmatic invoicing.
Provides administrative support, policy interpretation, and basic technical assistance to HCS Administrative staff or leadership of assigned division.
Provides information, assistance, and support to County residents who contact the Health & Community Services programs via phone, social media, or email.
Performs related work as required.
Operations
Coordinate Freedom of Information (FOIA) and HIPAA requests with appropriate Leadership and/or Legal Counsel.
Processes and coordinates notarization of internal and external documents for HCS divisions.
Coordinate and maintain HIPAA compliance policies and procedures.
MINIMUM QUALIFICATIONS
Required Education and Experience
At least two years of relevant college-level course work or an Associate’s degree from an accredited college or university.
3 to 5 years of related work experience.
Any equivalent combination of training, education, and experience that provides the required skills, knowledge, and abilities
