Key Responsibilities:
- Provide general administrative and personal assistant support to the CEO and Operations Manager, including diary coordination and handling ad-hoc requests.
- Manage and track maintenance activities by creating job cards, coordinating with service providers and maintenance team, and ensuring timely completion.
- Source quotations, raise purchase orders, and liaise with suppliers to ensure procurement of goods and services.
- Maintain accurate records of trucks, maintenance schedules, and relevant expenses.
- Oversee preventative maintenance planning and ensure all equipment and facilities are serviced according to schedule.
- Coordinate vehicle and fleet administration, including service bookings, licensing, tracking mileage, and managing related repairs etc.
- Handle insurance claims processes from initiation through to resolution, ensuring all required documentation and follow-ups are completed.
- Support property-related administrative tasks, including liaising with municipalities and service providers.
- Build and maintain strong relationships with internal teams, suppliers, and service providers to ensure smooth operations.
