Job Title: Maintenance and Parts Coordinator
The Maintenance and Parts Coordinator is responsible for purchasing materials, supplies, and inventory items following established guidelines and procedures set forth by management. This role involves ordering all plant consumables, managing inventory levels, and coordinating outside vendor service calls with the maintenance team for onsite inspections, scheduled maintenance, and repairs for all equipment, machinery, and site facilities and structures. The coordinator will also maintain computerized maintenance management software in accordance with corporate guidelines.
Key Responsibilities:
Research vendors and suppliers to ascertain the most cost-efficient source of supplies.
Request appropriate purchase order approvals, data entry, and tracking sheets.
Track backorders, arrange with vendors for delivery, and notify the Manager of the delivery dates.
Collaborate, coordinate, and escalate vendor issues while working with all departments.
Manage claim procedures for short/overage and damaged shipments.
Ensure accuracy and timeliness of all invoice and purchase order processing.
Reconcile parts and supply invoices, supporting all aspects of stock management.
Maintain supplier, part detail, inventory information, and part asset assignment in the CMMS Master file.
Issue parts, record withdrawals, and update the Computerized Maintenance Management Systems (CMMS).
Assist Maintenance Personnel with work orders, review mechanic daily work orders for services performed and parts used.
Prepare reports as needed and file/record the reports as required.
