Job purpose

The Administrative Assistant acts independently with various aspects of the day-to-day property management operations. The Administrative Assistant is called upon to function in the following areas. 1) Assisting residents. 2) Acting as liaison for the company, Griffin Property Management, LLC. 3) Taking the lead on administrative responsibilities. 4) Representing the company, Griffin Property Management, LLC in a positive manner by remaining professional and courteous while acting in an official capacity either in person, appearance, or while engaged in verbal communication with stakeholders. 6) Interpret and enforce the company’s rules contained in each tenant’s residential lease agreement.

Duties and responsibilities

Primary job duties and responsibilities:

Be the alternate point of contact for all tenants for any maintenance, lease, or payment issues the tenant may experience.
When directed, coordinate with tenants and contractors the resolution of all maintenance requests from beginning to end.

o This includes confirming the tenant’s availability to ensure the contractor will have access to the property on days of service.

Use of an automated task management system to respond, assign, and track actionable requests submitted by residents or tasks assigned by the Senior Property Manager.
Within one business day of receipt, respond to all assigned resident inquiries using the automated system.
Communicate with the Senior Property Manager verbally or in writing the estimated cost of repair for any service requests.
Seek approval for all non-emergency repairs prior to authorizing service for any maintenance or service request.
90 days from lease expiration, communicate with the Senior Property Manager about renewal options. As directed, send out 90-day lease renewal notifications to tenants.
Track and apply for rental license renewals
Track and schedule annual/Bi-annual property inspections.
Issue payment via company credit card to service providers.
Track and report all repair expenses incurred.

Additional job duties and responsibilities:

Travel to properties as needed to receive a complete understanding of maintenance-related problems or otherwise that may develop.
Travel to properties and conduct incoming/outgoing property inspections.
Coordinate lease execution for current and new residents.
Conduct property showings for new and prospective tenants.
Conduct bi-annual/annual property inspections.

Qualifications

Candidates must have at least two years of college-level course hours and at least one year of specialized experience as a Resident Manager or in a comparable field.

Working conditions

This position requires minimal personal interaction but relies heavily on telephone, email, and other forms of electronic communication. While the company does not require an employee to work from any designated location, the location the employee chooses to work from must be free of background noise and other distractions when communicating via telephone or any other media that could be received by the other party and interpreted negatively. This position also requires travel to properties frequently and candidate will be provided with a company vehicle.

Job Type: Part-time

Pay: $15.00 – $16.00 per hour
