We are a fast-growing public relations firm working in important clean energy sectors. We are currently seeking a talented professional with exceptional organizational skills for a part-time Administrative Assistant position to provide administrative support to the management team. The hours are flexible.

The right candidate will be adaptable to a dynamic work environment, have excellent interpersonal skills, and have the ability to work well with all levels of management and staff.

Responsibilities

Support and collaborate with key members of the management team

Manage and coordinate calendars for using Microsoft Outlook/Teams, including setting up calls and meetings

Assist with high-level projects for the team including day to day management of business initiatives, requiring strong understanding of the business and team agendas.

Manage projects and timelines using our project management software

Efficiently manage email correspondence and other communications with vendors, ensuring timely responses.

Prioritize conflicting needs; handle matters expeditiously; proactively engage and see projects through to successful completion within deadlines.

Manage expense reporting by preparing, checking, and submitting expense reports.

Assemble information and reports for managers

Update public relations plans, media reporting and marketing materials

Create Excel and Power Points to track data and reporting for clients and PR activities

Oversee office management tasks as necessary.

Manage payroll and basic accounting in Quickbooks.

Proof and edit content.

Create basic social media images in Canva or other software as needed

Employ an energetic and positive, can-do attitude while understanding the organizations values and ethics.

Qualifications

Strong attention to detail, follow-up and excellent organizational skills.

Strong sense of urgency, adaptability, flexibility and resourcefulness.

Strong ability to manage multiple priorities and projects in a fast paced, changing work environment.

Highly proficient in MS Office programs including Teams, Outlook, Word, Excel, and PowerPoint.

Basic Quickbook skills

Canva and other design software experience a plus

Experience working in a PR agency a plus
