Office Admin/Call Center Representative Jobs in Omaha, NE at J-Tech Construction
Central Builders, Inc. is seeking an organized construction administrative assistant to support our office with clerical and administrative tasks. You will help our office staff communicate with vendors and clients, organize bids from vendors and subcontractors, as well as assist with project management documentation. The ideal candidate will have great computer, communication, and time management skills. Previous experience in the construction industry is helpful but not required. Duties:
Provide administrative support for project estimating staff, project management staff and other construction management staff.
Support the front desk operations by greeting visitors and managing inquiries.
Enter data into project management software and databases.
Assist in bid solicitation by maintaining Invitation To Bid (ITB) software and obtaining quotes from vendors and subcontractors.
Act as a point of contact for vendors, subcontractors, various construction services teams and clients, and ensuring clear communication within the team.
Assist with contract preparation, review, and management.
Prepare forms such as change orders, purchase orders, service agreements, subcontracts and other project-related materials.
Assist with invoicing, expense tracking, and basic bookkeeping tasks.
Assist with project budgets, tracking deadlines, and coordinating schedules.
Execute clerical and general office duties such as setting up filing systems, data entry, typing, copying, ordering office supplies, and other administrative tasks for special projects as requested.
Coordinate meeting logistics and deliverables such as handouts for the project management team.
Perform additional administrative tasks as required to support the construction team.
Skills Required:
Strong organizational and time management skills.
Strong phone etiquette and communication skills, both written and verbal.
Ability to manage calendars effectively and prioritize tasks efficiently.
Proficiency in Microsoft Office Suite.
Knowledge/Willingness to learn of construction industry terminology and processes.
Ability to work independently and as part of a team.
Strong attention to detail and accuracy.

Education and/or Experience:
High school diploma is required – additional college such as an associate degree or bachelor’s degree is very valuable; or three years of experience of administrative experience is needed – previous administrative duties in a construction office are ideal; or equivalent combination of education and experience.
Language Skills:
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees.
Mathematical Skills:
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference and volume. Ability to apply concepts of basic algebra and geometry.
Reading Ability:
Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
Physical Demands:
While performing duties of this job, the employee is regularly required to sit and talk or hear. The employee frequently is required to stand and walk. The employee is occasionally required to reach with hands and arms.
The employee must regularly lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required for this job include close vision, color vision, and the ability to adjust focus.
