Office Administrative Assistant

Based in Brentwood, Los Angeles, the Administrative Assistant will provide administrative support to a growing first-time private equity firm. We are looking for an energetic and professional self-starter to join our team!

Responsibilities

Provide office management support, working closely with Director of Operations to ensure all aspects run smoothly.

Manage communal areas, ensuring they are tidy, well-organized, and presentable at all times.

Maintain stock of office supplies, groceries, and facilities support for two office suites with 10-15 employees.

Internal meeting setups, including, but not limited to, scheduling, ordering lunches, tech setup, greeting guests and material support as needed;

Calendars and scheduling support for Managing Director.

Maintain contacts and notes in CRM for Managing Director.

Accounts payable data entry.

Organize department team meetings. Attend meetings to remain informed and provide optimum assistance and manage follow up.

Work independently on special projects under general direction of management,

Managing logistics of meetings including, but not limited to, booking of offsite conference room, ordering food and setting up as necessary, assembling printed data/materials, updating and distributing the agenda; and

Event planning assistance for annual meeting.

Run business errands as needed.

Performing other administrative support duties as needed.

Qualifications

3-5+ years of experience in an administrative role

Proven ability to manage multiple tasks with competing priorities and deadlines, independently determining order of priority and self-initiating other value-added tasks; and

Strong proficiency in Outlook, Microsoft Word, Excel and PowerPoint.

Education

·       Bachelor’s degree preferred.

In addition to a competitive base salary, you will be eligible to receive a discretionary bonus, 100% paid medical and dental benefits and an option to participate in the firm’s 401K program. This is an in-office work environment (M-F). The base salary offered will commensurate with experience and/or qualifications, industry knowledge and expertise, as well as prior training and education. Background and credit check required.
