Position Summary:
The Office Administrative Assistant will be responsible for providing high-level clerical support for the efficient operation of the assigned department head-level employees and general department support by performing a variety of clerical and administrative tasks. Main duties include preparing reports, presentations, conducting research, collecting data and managing travel arrangements, greeting guests, maintaining office and kitchen supplies. As a representative of the company, the Administrative Assistant will need to always present a professional appearance as well as a friendly and professional demeanor.
Key Accountabilities:
Collects requested data and information from various sources including email and other correspondence, meeting minutes and records, and other documents; prepares summaries of findings and/or other related written correspondence as requested.
Performs filing, coordination of signatures via adobe sign, correspondence, presentation editing, clerical document assistance, and other general clerical and secretarial duties as requested.
Conducts research (within skills and expertise) to assist with projects or inquiries.
Coordinates and arranges travel and accommodations, meetings, and appointments for various team members as requested.
Prepares agendas and schedules for meetings, conferences, and other assigned events; takes and distributes minutes or other notes as requested.
Responds to and resolves administrative inquiries and questions.
Provides back up to receptionist to answer and transfer phone calls, screening, as well as greet visitors when necessary.
Maintain accurate electronic files of all departmental material.
Arranges catering needs for meetings as requested.
Performs additional duties as assigned in an efficient and timely manner.
Maintain up-to-date office floor plan and employee contact lists current.
Stock and maintain office and kitchen supplies ensuring supplies are adequate at all times.
Gatekeeper of office Security System.
Greet all visitors and direct them to the appropriate conference room.
Qualifications: The requirements listed below are representative of the knowledge, skills, and/or abilities required to perform the position successfully.
Education, Certificates, and Licenses:
High school diploma required; associates degree or higher-level education preferred.
Experience:
4+ years of experience in an administrative role; previous experience as office administrator preferred
Knowledge, Skills, and Abilities:
Extremely Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Adobe Acrobat (PDF’s).
Exceptional communication skills (written and verbal).
Excellent interpersonal and customer service skills. Ability to function well in a high-paced and at times stressful environment.
Detail-oriented and highly organized with excellent multitasking skills.
Knowledge of, or ability to quickly acquire, familiarity with the roles and function of the assigned department, and any specifically applicable guidelines.
Takes initiative; proactive and problem-solving attitude, flexible, team player.
Familiar with arranging international travel.
Basic understanding of office equipment.
Ability to work independently and reliably.
