We are currently looking for a generalist Administrative Assistant with the following profile to join our team in Herent. As administrative assistant, you will provide administrative support to the organization, in accounting, in the sales process, and in human resources. You are detail-oriented, communicative, and enjoy a varied range of tasks.

Your responsibilities are:

Accounting assistant:

Generate outgoing invoices, process incoming invoices (Exact Online)

Book bank transactions, prepare payment lists

Follow up on overdue invoices and manage accounts receivable

Work with our external accountant for the monthly and yearly financial closing

Sales support:

Generate offers for routine quotation requests

Follow up the order process for standard products

Manage renewals for yearly subscriptions

HR Administration:

Internal contact person for HR-related questions; onboard new employees

Manage employee files (contracts, vacation records, sick leave)

Provide our external payroll processor with the input for the monthly payroll calculation

Assist in recruitment and selection (posting job ads, scheduling interviews)

Other routine tasks related to HR: organize team building activities, maintain employee safety procedures, …

Varia:

Responsible for small purchases (office materials, coffee, snacks, …)

Limited number of tasks related to information security

Profile

With the following skills, you are the perfect match to complete our team:

You hold a Bachelor’s or Master’s degree and have a few years of experience in a similar role

Excellent organizational skills

Strong communication skills (written and verbal) in interactions with customers and colleagues

Strong commercial orientation

You work in a well-organized and accurate manner

Result driven
