The Opportunity

We are looking for an Administrator to cover maternity leave on a 12 months contract by working in our London Office. This is an exciting time for Robert Bird Group, as we go through continual expansion, and so presents an opportunity for someone looking to further their career within a thriving engineering consultancy.

The Administrator will be assisting various Engineering teams with compliance and everyday tasks to aid the smooth operation of our business.

Administration

Typing, compiling and preparing project reports, team presentations and correspondence for internal and external purposes

Assist with preparation of submissions, fee proposals and expression of interests

Maintain the UK client database to ensure it is current and accurate

Assisting with control of variation on projects

Reception cover and backup support for Reception. To be competent in all reception duties in order to relieve when required i.e. lunch breaks, leave and at any other times as and when necessary

Coordination of national and international travel logistics in line with internal policies and procedures, distributing itineraries to staff and relevant branches as and when required

Reconciliation of staff expenses

Administration and secretarial support to Directors including but not limited to: diary management ensuring calendars are regularly updated and maintained, updating client contact lists, updating resource charts, staff annual leave calendars, etc.

Organising meetings (internal / external), distributing agendas and taking minutes as and when required

Implement Health and Safety policies and procedures on projects and oversee team’s compliance

Participate in Workplace Health and Safety committee if, and when, required

Undertaking all administrative duties such as, but not limited to: photocopying, binding documents, project filing and archiving, business card scanning, document downloading etc.

Managing and coordinating gifts for team i.e. leaving gifts

Running reports on internal system (Clarity), time / cost transfers, open / close projects, set up project work stages etc

Experience and Knowledge

Previous experience in an Administrator Role

Intermediate Computer Skills

High Level of Communication (Verbal and Written)

Organisation and Management Skills
