Job Description

Executive Assistant

Are you an experienced administrative professional who thrives in a dynamic academic environment? We’re seeking an Executive Assistant to support the AAVP for Faculty Development. This role is central to ensuring smooth operations, managing sensitive processes, and supporting faculty-related programs and university governance.

What you will be doing in this position:

Administrative Operations
Manage schedules, calls, correspondence, office records, and confidential data. Coordinate meetings, track expenses, maintain supplies, and complete special projects and research tasks.

Faculty Rank & Status Support
Assist with Rank & Status (R&S) documentation, database management, report generation, and R&S council coordination. Manage appeals and ensure policy compliance across review cycles.

Faculty Leave Management
Process faculty leave requests via Workday and oversee the approval workflow and communications with campus offices.

Faculty Awards
Support the Faculty Awards Committee, coordinate reviews and nominations, and prepare award materials for university events.

Document & Process Management
Create, update, and distribute office forms and ensure documentation is accurate and up-to-date.

What qualifies you for this position:

Required:

College degree or 5+ years’ experience in higher education administration

Advanced proficiency in Microsoft Office, Adobe, Zoom, Box

Strong organizational, interpersonal, and communication skills

Ability to manage confidential information with discretion

Proven multitasking and process improvement skills

Preferred:

Bachelor’s degree

5–10 years in executive-level administrative support

Familiarity with university systems (HR, finance, travel) and academic governance

Compensation Range

Actual compensation based on education and experience

$24.44 – $31.74
