Key Responsibilities

Provide general administrative support to ensure smooth office operations.

Assist with onboarding new employees, including compiling documentation and submitting necessary paperwork.

Maintain organized project files and records, both digital and physical, for assigned tasks and company operations.

Manage and maintain filing systems, ensuring easy retrieval of documents and records.

Coordinate and manage calendars for appointments and meetings, effectively scheduling and avoiding conflicts.

Perform clerical tasks, including data entry, document preparation, and correspondence management.

Learn and utilize construction-specific software such as Procore to assist with project tracking and management.

Utilize Excel and Microsoft Office programs to create reports, track data, and support project needs.

Communicate with insurance brokers regarding subcontractors, job sites, and company policies.

Track and manage important project documents, including permits, legal cases, and violations, ensuring compliance and proper record-keeping.

Implement organizational systems to streamline office processes and improve efficiency.

Support team members with administrative tasks to enhance overall productivity.

Qualifications & Skills

Previous administrative experience in a professional office setting, preferably in construction, real estate, or development.

Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).

Ability to learn and use industry-specific software (e.g., Procore, Agora, project tracking tools).

Strong organizational skills with attention to detail and accuracy.

Excellent written and verbal communication skills for interacting with team members, vendors, and external partners.

Ability to multitask and manage multiple priorities.
