Position OverviewWe are currently seeking a dynamic individual to fill the role of a full-time Financial and Administrative Coordinator. This versatile position demands self-motivation and the ability to collaborate within a successful business environment. The administrative responsibilities will be based in our Delaware office, while the finance-related tasks are centered at our company headquarters in Hayward, CA. ResponsibilitiesFinancial Coordination:Match invoices with purchase orders and accurately enter data into Netsuite.

Process weekly/semi-monthly payment runs, including checks, ACH, and wire payments. Review invoices, resolve discrepancies, and ensure accurate entry into Netsuite.

Monitor accounts payable aging and promptly address any discrepancies.

Collaborating with departments leads to facilitate smooth payment processing.

Support the processing and coding of 1099s and W9s.

Contribute to the month-end closing process through balance sheet reconciliations.

Administrative Coordination/Office ManagementOversee day-to-day office operations to ensure efficiency and compliance.

Manage office supplies and snacks inventory, including ordering and maintaining stock levels. Coordinate company events, handling tasks such as lunch orders, setup, and takedown. Serve as the point of contact for office maintenance and repairs.

Establish and manage paper or electronic filing systems, updating information as needed. Support the management team with various administrative tasks.

Maintain a professional and welcoming office environment for visitors and employees. Identify and implement process improvements to enhance office productivity and efficiency.

RequirementsQualifications:Minimum of 2 years of relevant accounts payable experience. Strong understanding of US GAAP and internal controls. Deadline-oriented with excellent attention to detail.

Ability to prioritize workload effectively.

Self-motivated, proactive, and capable of multitasking in a fast-paced environment.

Effective communication and active listening skills across diverse organizational levels.

Advanced skills in Microsoft Excel; experience with NetSuite is a plus.
