Job Summary
We are seeking a highly organized and proactive Office Administrator to join our team. The ideal candidate will play a pivotal role in ensuring the smooth operation of our small company by completing administrative tasks, overseeing all aspects of client data, and facilitating effective communication with clients and our team. This position requires strong multitasking abilities and a keen attention to detail and time management, as well as proficiency in various office management tools.
Responsibilities
Complete day-to-day office operations, ensuring efficiency and organization.
Complete customer service related tasks
Complete data entry, production entry, and data base management
Email and file documents and maintain customer files
Maintain filing systems and ensure all documents are organized and accessible.
Communicate effectively with team members, clients, and vendors via phone systems and email.
Manage calendars, schedule appointments and meetings as needed.
Utilize QuickBooks for financial record keeping, invoicing and reporting.
Assist in team management activities to promote a collaborative work environment.
Bring your successful experiences in office management and use your creativity to improve existing systems.
This position is on track towards full-time status with greater responsibilities and benefits. Seeking an energetic individual to grow our small company into a larger even more successful organization.
Qualifications
Proven experience as an Office Administrator or in a similar administrative role.
Strong organizational skills with the ability to prioritize tasks effectively.
Excellent communication skills, both verbal and written.
Proficiency in QuickBooks is required, and other office software applications.
Bookkeeping experience preferred.
Apple device and Mac Desktop experience preferred.
Ability to self motivate while fostering a positive work atmosphere.
Problem-solving skills
Strong attention to detail with the ability to manage multiple projects simultaneously.
