OVERVIEW:

The Administrative Assistant is responsible for the reception tasks of the Silicon Valley Administration Office. The position is responsible for supporting the Silicon Valley Coordinators and the Director of Business.

DUTIES AND RESPONSIBILITIES:

Direct calls to appropriate parties. Calls should be answered and processed expeditiously, courteously and in a professional manner. If party unavailabe, direct to voicemail.
Receive all visitors and guests to the front office and direct them to their requested locations. Distribute visitor/vendor badges as needed. Receive any appointments for staff and inform the proper persons of their arrivals.
Receive and manage all incoming mail, packages, and shipments according to proper Salvation Army policy. Call or email staff to let them know they have a package.
Prepare proper forms for all received donations (both by mail and at the door), and deliver to the bookkeeping staff on the same day. Comply with all internal controls regarding the handling of monies.
Responsible for maintenance and upkeep of office equipment, including copy machines and shredder machines.
Responsible for the timely receipting of cash, in-kind donations, and GIK reports according to Salvation Army policy.
Order and manage the inventory of office supplies and notify Director of Business when supplies are low and need to be replenished. Ensure staff office supply requests have supervisor approval.
General clerical duties including photocopying, fax, mailing, writing letters, making labels, post office runs, etc.
Keep inner office area secure by preventing unauthorized traffic in that area.
Prepare and post the mail each day. Ensure that there is always enough postage available.
Provide administrative support to the Silicon Valley Coordinators and the Director of Business.
Provide support for meetings (including Advisory Board and Women’s Auxiliary) which may consist of: ordering, pick up, and set up of food, set up of room, taking and publishing the minutes, and clean up.
Organize supply cabinets, lobby, and other areas as requested.
Organize breakroom (cupboards and room), Advisory Board closet, order supplies for breakroom as needed.
Assist with scheduling the Silicon Valley Coordinators and the Director of Business’ calendars as requested.
Assist the Director of Business with HR functions including posting of job positions, forwarding resumes, filing paperwork, TSAMM entry and tracking, checking references, keep HR bulletin boards updated, etc.
Before leaving at the end of the day, be sure all equipment is turned off, doors are locked and lights are off in the front area
Knowledgeable of all campus programs and able to assist clients with general questions and/or accepting documents.
All other duties as assigned.

EDUCATION AND EXPERIENCE:

Must have High School Diploma or equivalency.
3-5 years of office experience preferred
Bilingual – helpful but not required

SKILLS AND ABILITIES:

Ability to maintain and set up hard copy and electronic file systems
High confidentiality requirements
Reliable and dependable
Excellent communications skills and experience in working with nonprofits; ability to work with diverse communities; strong verbal and written skills are essential
Ability to work independently and as part of a team
Valid CA Driver’s License

EQUIPMENT USED:

Modern Office Equipment and Relevant Software

PHYSICAL REQUIREMENTS:

Ability to lift up to 25 lbs. (Usually file boxes)
