Our firm, formed through the merger of Civis Law LLP and Lemke Law PC in September 2022, comprises five partners, two associates, and three staff members.

Job Summary:The Office Administrator is the backbone of our daily operations, providing assistance to the managing partner and taking charge of general office duties. This role also involves performing light bookkeeping tasks and other duties as outlined below.

Working Hours:Our office operates from 9:00 am to 5:00 pm. However, we offer flexibility in managing your day, including lunch, breaks, and tasks. Opportunities for overtime are available.

Responsibilities

1.Administrative Support: Maintain a welcoming reception area, manage document scanning and copying, prepare courier packages, open and close client files, undertake filing of paperwork, schedule appointments, assist with subtenant needs, and monitor the office email inbox.

2.Bookkeeping and Banking: Collaborate with the bookkeeper to manage financial matters, scan and record financial documents, prepare bank deposits, scan and record received cheques, and print cheques for signature.

3.Facilities Management: Monitor and reorder kitchen and office supplies, maintain kitchen cleanliness, ensure boardrooms are tidy and meeting-ready, and manage building access cards.

4.Client Relations: Greet clients warmly, manage client ID and documents, handle phone calls professionally, and record potential client details.

5.Mail Management: Handle incoming mail for subtenants and staff, scan mail for certain subtenants, and provide efficient mail services.
