The Executive Assistant to the CEO provides high-quality administrative, clerical and strategic internal support to the CEO. Serves as the primary point of contact for internal and external associates on all matters related to calendars, correspondence, statistical reports, handling information request and receiving visitors. Provides a wide range of administrative support activities to ensure that business, operational and executive office management are carried out effectively and efficiently.

Your Everyday

Secretarial duties for CEO:

Acts as a liaison with the CEO and other leaders in a timely and confidential manner to facilitate accomplishment of organization’s mission and goals.
Manages CEO’s calendar, scheduling and confirming appointments. Determines priorities independently or in consultation with executive.
Assists CEO with time management, ensuring that meetings begin and end on time, building travel time into schedule and minimizing interruptions.
Ensures CEO has all facts and circumstances on any issue that requires his/her personal attention.
Coordinates internal and external meeting arrangements, including invitation and registration process, facilities, catering and logistics, as well as travel and hotel arrangements as needed.
Compiles meeting agenda, gathering information (often of a highly confidential nature) from multiple sources, ensures that materials are assembled and distributed in a timely manner.
Compiles and maintains data, correspondence and documentation to ensure availability of complete, accurate, aup-to-date information and accomplish assigned tasks.

Role as recording secretary/coordinator for Governing Board/Administrative Committees:

Prepares, edits, proofreads letters, memoranda and presentations from notes or independently, often of a complex and confidential nature.
Designs and creates formats, lays out presentations and documents. Use advanced features of MS Office applications (Word, Excel and Power Point).
Reviews, determines appropriate disposition of, responds to mail, faxes and email.
Attends meetings, takes notes and prepares summaries or minutes.

The Must-Haves

Minimum:

MINIMUM QUALIFICATIONS

Required: High School Diploma/GED or equivalent OR 2 years of work experience.
Preferred: 5 years of Clerical Experience supporting executive level personnel.

SKILLS AND ABILITIES

Must possess extensive Executive Secretarial/Administrative Assistant experience in a health care setting.
Working knowledge of computer software to include Windows, Wordperfect 6.1 and Microsoft Office.
