Job Description:
We are seeking an experienced and highly organized Executive Assistant to provide critical support to the Advancement, Finance, Ops and Events Directors and upon occasion the CEO, in a fast-paced and fun environment.

This is a part-time position (12 hours per week), requiring a dedicated, reliable individual to work on-site at the museum-3 days a week.

Just retired and want a little extra money? The ideal candidate will have at least 10 years of experience in a similar executive support role in a non-profit organization, and possess a strong business acumen including integrity, honesty and competence. This is only a part-time role which will not change to a full-time position.

Key Responsibilities:

Provide excellent executive support as needed—pivotal during busy seasonal times.
Use excel databases with advanced proficiency, ensuring accuracy and timely updates.
Proficiency documents using Microsoft Office Suite and Canva.
Organize and manage virtual and in-person meetings, events utilizing tools such as Doodle, Teams, Zoom for scheduling.
Assist teams to liaise with all vendors.
Handle multiple tasks simultaneously with attention to detail and efficiency.
Exercise strong emotional intelligence to maintain positive relationships with internal and external stakeholders.
Other administrative tasks as needed to support the executive team. Know your stuff!

Qualifications:

Minimum of 6-10 year’s experience in an executive assistant or administrative support role.
Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Google Docs, Versai, Bonterra).
Experience with Canva and other design tools.
Expertise in Excel for managing databases and reports.
Strong multitasking abilities with excellent organizational skills.
High level of accuracy and attention to detail.
Punctual, dependable, and professional.
Excellent communication skills and emotional intelligence to interact with executives, clients, and colleagues.
Ability to thrive in a fast-paced and ever-changing environment.
