Due to an internal promotion, we are now seeking a full-time, on site Office Administrator to join our friendly team. Working alongside the Office Manager as well as supporting the general business activities, you will also support projects for both the Finance and People Teams. The successful candidate will join our small Business Operations team and will support a wide range of tasks from answering phones and greeting visitors, to day to day office administrative tasks and supporting or owning administrative projects supporting other teams, therefore you must be confident in handling a wide range of activities. Above all, you will play a key role in making Lightcast Discovery a great place to work by ensuring our people have the supplies, tools and resources needed to deliver great work.

Key responsibilities include

General administration support – manage company records and documents

Liaison with suppliers, setting up accounts and maintaining a corporate account register

Management of purchasing systems

Purchase to pay process for Operations purchases

Working with the Office Manager in ensuring office and kitchen are clean, tidy, well stocked

General facilities Support

Supporting the Office Manager with contractor and supplier management

Booking in, meeting, and greeting guests, making sure they feel welcome and assisting them with any needs; ensuring meeting rooms are prepared for major meetings

Incoming / outgoing correspondence duties

Project support and ownership- owning and delivering administrative projects to areas of the business

Shared inbox and helpdesk management

First point of contact for external calls

General filing and NDA management

Invoice administration

Providing cover for the Office Manager as needed

Ad hoc office and facilities duties

Person specification

You will have the ability to multi-task whilst prioritizing your own workload and be able to work with minimal supervision

You must have previous experience in a similar role, which is diverse and very hands on

You must possess strong interpersonal skills and be able to liaise with people at all levels of seniority

You must have a high level of understanding of confidentiality

Proficient use of all Microsoft Office

Excellent attention to detail

Highly organized

Due to the nature of this role, the work needs to be carried out in the office between the hours of 9am and 5.30pm with occasionally work from our other site just outside of West Cambridge (2-4 times per month).

Salary circa

£25,000-28,000

per annum plus generous benefits package including:
