Amoria Bond is a fast-growing international Recruitment Consulting Company with offices all over Europe and Asia. For our Amsterdam office we are looking for support in Office administration tasks due to the rapid growth and development foreseen for 2024.

The Office Administrator takes full and proactive ownership of being the Business Support lead for day to day tasks at the office, maintaining high standards when it comes to facilities, events and travel planning as well as undertaking ad hoc tasks and projects as needed.

This role works 24 hours per week on-site.

Office Facilities Management

Acts as the day to day first point of contact for facilities management, and responds to all initial requests and queries.

Proactively solves issues as they arise (email and phone to resolve problems). Escalating issues to the People and Business Support Executive, as and when needed.

Manages relationship with the cleaning supplier – setting clear expectations around cleaning the office adequately, reviewing and monitoring standards on an ongoing basis to ensure that these standards are adhered to.

Maintains good stock levels and relationships with suppliers for stationary, drinks, cleaning products and other office needs. Ensuring receipt of deliveries and payment records are kept.

Ordering Food when required for meetings or events.

Supporting with identifying resolutions for any issues or queries regarding the Office (Printer, Coffee machine etc), and maintaining relationships with suppliers.

Generally ensuring the office looks good for employees and visitors.

All IT/Hardware orders, to get approval and place orders.

Sales Support (1 hour per day)

Generation of Sales Reports for Amsterdam MD and CEO Travel

Travel

Responsible for booking staff travel and ensuring this is kept within the expenses policy, with the exception of travel for the CEO.

Tracks travel bookings and requirements for reporting purposes.

Keeps a record of all receipts.

Event Management

Full ownership of organizing Lunch Club, including proactively sourcing appropriate venues in line with company requirements.

Supports the local team with planning local sales events. Including visual preparations and prize support.

Office Event Decorations; Sales Day, Theme days, festive season.

Organizes the annual summer parties for the office and provides support to the People and Business Support Executive in organizing the winter parties for the office.

As part of the wider Business Support team, support with larger company events including Sales Conferences and Leadership Conferences. Including costings, accommodation, travel, and activities. Group Services Support.

Group services support

To support with the wider Group Services teams (People, L&D, Content, TA) as required

Ad-hoc tasks

Supporting People and Business Support Executive with any cost saving projects with any current or new suppliers (Office Supplies etc).

Co-ordination of lunch cover.

Support senior management team with tasks where needed, as delegated by People and Business Support Executive.

Other administrative tasks as needed.
