Summary: Under moderate supervision, this position provides personal clerical and administrative services and assistance, of moderate complexity, requiring the use of judgment and discretion on a periodic basis for the Associate Deans at the Office of the Dean. Keeps official university records and executes administrative policies determined by or in conjunction with other officials.
Essential Functions
Manages the Associate Deans’ schedules, individual meetings, RSVPs, outside campus events, weekend’s engagements.
Collaborates with Associate Deans to organize, prepare, attend, and take notes/minutes for meetings. Coordinates work with University units and private organizations. Takes and transcribes dictation and composes and prepares confidential correspondence and reports.
Coordinates or oversees the high-level administrative operations for Associate Deans. Periodically coordinates the reception area for the Dean’s office. Performs complex and confidential secretarial functions for Associate Deans, including word processing/typing of letters, memos, forms, policies, and procedures.
Works with and assists the CAO, Assistant Dean in ad-hoc projects.
Handles confidential information. Provides administrative support for Associate Deans to include telephone coverage, copier projects (including overhead preparation and/or Power Point presentations), mail handling, supply control and necessary internal and external communication.
Develops and maintains electronic lists of internal and external contacts such as donors, committee members, points of contact in college and university units, etc.
Makes travel arrangements for the Associate Deans, including forms, and reimbursements.
Processes purchase orders, travel requests, time sheets and other business transactions in the financial system for the Office of the Dean and as needed. Facilitates the organizing of programs, events, meetings, or conferences led by Associate Deans by arranging facilities and caterers, issuing information or invitations, coordinating speakers and controlling event budgets.
Receives information from other departments and compiles data for Associate Deans.
Performs special projects and assignments as requested by Associate Deans such as review PeopleSoft action forms (HRMS, Financial and Leave requests), BP Logix, purchase requisitions.
Keeps a list of internal and external providers for different purposes.
Possesses knowledge of all Microsoft Office software and able to learn and use institutional software systems.
Complies with all State and University policies.
Performs other duties that may be assigned.
Qualifications

Required Qualifications:
Education: Associate’s degree or equivalent from two-year college or technical school within area of assigned responsibility.

Experience: Four years related experience to the statement of duties and responsibilities; or equivalent combination of education and experience.
Preferred Qualifications:
Bachelor’s degree
Experience in an office setting (particularly a higher education setting).
Excellent communication skills.
