Office Administrator

We are a leading vertically integrated cannabis company looking for a reliable and detailed-oriented Office Administrator to join our team in Portland.

In this role you will support the administrative, HR, accounts receivable and payables management, accounting, cash management activities for our dispensary location in Portland. Following a successful 90 days in a Part Time capacity the position will have the opportunity to gain full time hours by providing remote support for our farm in Veneta.

This role will be a peer to the Store Manager and support him in ensuring we have a well working store and retail operating model. While we are a cannabis company, this role does not require prior cannabis industry experience. We can help you get a marijuana worker’s permit with the OLCC if needed.

Responsibilities of the role

Perform administrative and clerical functions to drive company success

Reconcile cash as needed and support the cash management process to ensure deposits are made on time and armored car pick-ups are managed efficiently

Manage business supplies inventory and order management; establish a budget for supply needs and a process to manage accordingly

Develop and implement organized electronic and hard copy filing systems

Support month-end close processes to ensure proper financial accounting practices and inform future business decisions based on performance

All financial data will run through this role

Assist in the development of the team by supporting the recruiting and hiring process; including but not limited to interview scheduling and follow up

Work with the Store Manager to maintain a positive and professional work environment for the office

Maintain property grounds; ensure vendors, contractors, service providers are completing their contracted tasks. Ensure any property issues are addressed in a timely manner

Sorts, distributes and sends incoming and outgoing mail, faxes, reports, notices, etc.

Plan and schedule appointments and events as needed

Provide some remote support on similar administrative tasks as needed, to our Farm Team in Veneta, OR

Perform ad-hoc assignments as requested by the leadership team

Ability to prioritize and multi-task

Excellent written and verbal communication skills

Strong attention to detail, consistent with follow-up and follow-through on detailed tasks or projects

Strong organizational skills, especially in spreadsheets and file management

Proficiency in QuickBooks and excel

Strong interpersonal and customer service skills

Critical thinking and problem solving

Knowledge of accounting practices and ability to apply in QuickBooks software and through management reporting

QuickBooks or comparable accounting software: 2 years (Required)
