Job Summary
We are seeking a detail-oriented and organized Administrative Clerk to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing essential clerical support. This position requires strong communication skills, both verbal and written, as well as proficiency in various office tasks.

ROLES AND RESPONSIBILITIES:

Invoice Processing

o Check requests – manage expedited payment requests

o Review and approve Conservice (utility) invoices daily

o Collaborate with Conservice to resolve discrepancies and issues

o Process other utility bills not managed by Conservice, including but not limited to telecommunications, cable services and internet expenses.

o Prepare and process a high volume of vendor invoices, facilitating payments through ACH transfers and preparing invoices for alternative payment methods.

o Demonstrate proficiency in HPI’s GL codes, ensuring accurate coding of all invoices.

o Secure online access to vendor invoices to streamline processing.

o Review and forward invoices received at the corporate office to managers for approval

Reconcile resident accounts and issue resident refunds

Petty Cash Cards

o Download and distribute monthly statements

o Receive and process reconciliations, input expenses in accounting software

Log and distribute incoming checks

Monitor email inboxes and phone calls

Provide back-up and support to the Executive Assistant

Experience

Previous experience in an administrative role is preferred; experience in accounts payable is a plus.
Bachelor’s degree in Accounting, Finance, Business, or a related field preferred.
Strong organizational skills with the ability to manage multiple tasks effectively.
Proficiency in office software applications (e.g., Microsoft Office Suite) is essential.
Demonstrated ability to maintain confidentiality and handle sensitive information responsibly.

Pay: $65,000.00 per year
