The Opportunity

We are seeking a dynamic and motivated Office Administrator and Administrative Assistant who will report directly to the VP of HR. This individual will play a pivotal role in overseeing and coordinating day-to-day operations, ensuring a professional and organized office environment.

What you’ll get to do

Facility Management:

Regularly inspect conference rooms, reception areas, kitchens, and pantry spaces to maintain a professional, well-maintained, and organized environment.

Serve as the central point of contact for Building Management for office repairs and requests.

Coordinate with vendors for services, including cleaning, maintenance, and office supplies.

Receive and distribute all incoming mail and deliveries.

Supplies and Inventory:

Manage office and kitchen supplies, equipment, and inventory, placing orders as needed.

Administrative Support:

Oversee the Finance Amex account, including submitting expenses and proactive follow-up to ensure timely payments.

Arrange travel itineraries, flights, accommodations, and transportation, ensuring all travel-related documents and logistics are in order.

Perform additional duties to contribute to our vision, mission, and values.

Communication:

Collaborate with the EA team to provide seamless support throughout the company.

Take responsibility for office communication, including building updates, maintenance, repairs, and relevant information to employees.

Meeting and Event Coordination:

Set up meeting spaces with meticulous attention to detail.

Support the planning and organization of onsite and offsite meetings, conferences, and events, covering tasks such as booking meeting rooms, sending calendar invites, managing catering, room setup/cleanup, and securing/preparing audio/video equipment for presentations.

Bachelor’s degree preferred.

2-3 years of office administration experience.

Ability to work in-office five days a week.

Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.

Proficient in office administration and management.

Highly organized with great attention to detail.

Demonstrated record of punctuality and dependability.

Ensure a warm and welcoming environment reflective of our company’s values for every guest and employee.

Flexibility and adaptability to handle changing priorities and diverse tasks.

Excellent communication skills, maintaining professionalism with internal and external customers.

Ability to handle sensitive and confidential information while maintaining professional relationships with all areas of our business.

Collaborate effectively with team members, stakeholders, and vendors to ensure communication and coordination are efficient.

As required by New York City salary transparency law, effective November 2022, the expected base salary for this position ranges from $70,000 – $80,000. Various factors are considered when extending offers, such as relevant skillset, training, years of experience related to the current job description, education, and our organizational structure.
